PURPOSE OF THE JOB
The purpose of the Receptionist is to operate a multi-line telephone system, answering incoming calls and directing callers to appropriate personnel. This role will ensure that the telephone system is operating efficiently at all times. This role exists to greet and assist visitors, vendors and applicants coming to the office of ICW Group and providing exceptional customer service. This position requires working onsite Monday – Friday.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Greets and assists visitors to ICW Group offices and provides exceptional customer service.
- Receives, screens, and directs visitors in a professional and courteous manner, and notifies appropriate personnel ensuring timely connection and friendly service.
- Receives and routes incoming calls and takes messages when necessary.
- Reports problems related to the telephone system to Manager for further action.
- Retrieves and forwards messages received in afterhours mailbox to appropriate employee or department contact.
- Coordinates receipt of subpoenas and/or summons.
- Regularly reviews Emergency Procedures manual and Unwelcome Visitor procedures to ensure familiarity with processes.
- Handles opening and closing procedures.
- Performs overhead paging when requested.
- Books/schedules conference rooms.
- Provides directions to our building when requested.
- Performs various tasks assigned by other departments as needed.
- May create, maintain, and update various information databases or other technology tools.
- Responds to general inquiries concerning department and ICW activities in accordance with established policies and procedures.
SUPERVISORY RESPONSIBILITIES
This role does not have supervisory responsibilities.
EDUCATION AND EXPERIENCE
High School Diploma or GED required. Associate’s degree a plus. Minimum 2 years of related experience in an office or customer service setting required.
CERTIFICATES, LICENSES, REGISTRATIONS
None required.
KNOWLEDGE AND SKILLS
Working knowledge of Microsoft office (Word, Excel, etc.) and familiarity with standard office machines. Excellent customer service skills. General functional knowledge related to ICW departments may be required. Ability to speak effectively before groups of customers or employees of organization. Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving customers and service type issues.
PHYSICAL REQUIREMENTS
Office environment – no specific or unusual physical or environmental demands and employees are regularly required to sit, walk, stand, talk, and hear.
WORK ENVIRONMENT
This position operates in an office environment and requires the frequent use of a computer, telephone, copier, and other standard office equipment. The noise level in the work environment is usually moderate.

$17.05 - $26.89
