About the role:
We are looking for an organised and proactive individual to join our team as a Receptionist. This multifaceted role combines facilities management, training administration, and reception duties to ensure the smooth operation of our site and an excellent experience for employees and visitors.
What will you be doing?
- Facilities Management:
- Reporting any problems to the relevant supplier and following up with repairs etc.
- Scheduling services and maintenance.
- Log maintenance requests from Baxi employees.
- Liaise with cleaners and Equans to ensure all services are being carried out.
- Ensure building is in a good state inside and out.
- Report any H&S issues/risks to H&S Manager
- Reporting any security issues
- Raise PO’s for low value consumables
- Meet contractors coming onto site, safety induction and direct to area concerned.
- Training administration:
- Deal with all training enquiries.
- Manage and administer the course booking databases.
- Support monthly reports detailing activities and performance.
- Organise catering for all training courses and internal/external customer meetings.
- Ensure current literature is displayed in all communal areas.
- Ensure training packs and supporting information is available for all courses.
- Meeting and greeting customers attending the training centre.
- Ensure safety and first aid equipment available in the training centre are up to date and calibrated if necessary.
- Coordinating contractors carrying out work at the training centres
- Reception:
- Meet and greet all guests, contact relevant internal personnel when visitors arrive.
- Manage post incoming and outgoing, alert people when they have packages to be collected.
- Maintain the reception area so it is visually pleasing to guests on arrival.
- Manage parking system, including releasing training spaces, booking visitor spaces and monitoring parking infringements.
- Direct/deliver lunches to relevant training groups, internal meetings.
