SHIFT

Monday – Friday, 7:30 a.m. – 4:30 p.m.

KEY RESPONSIBILITIES:

Administrative (70%)

  • Assist visitors by greeting, welcoming, identifying the reason for their visit, and directing them appropriately.
  • Notify relevant employees of visitors arrival.
  • Follow security procedures, such as validating visitors, monitoring the visitor log book, and issuing visitor badges.
  • Communicate to the appropriate departments of planned visitors and events taking place in the building daily.
  • Clean and maintain the coffee machine and coffee supplies.
  • Set up in-office catering for onsite training events.
  • Print, sort, and mail customer invoices and credit memos daily.
  • Maintain and replenish office supplies.
  • Receive, sort, and distribute mail.
  • Assist other departments with projects as needed/as able.
  • Complete required training as needed.

Call Handling (30%)

  • Answer customer calls and direct them to the appropriate department.
  • Provide basic product information questions from customers.
  • Operate phone system and email voice mail messages to phone representatives to be worked.

AS THE IDEAL CANDIDATE YOU POSSESS:

  • Solid working knowledge of phone systems (Genessys a plus)
  • Solid working knowledge of CRM (call reporting management) (Dynamics a plus)
  • Proficiency in Microsoft Office suite (Word, Outlook, Teams, Excel, etc.)
  • Excellent written and verbal communication skills
  • High level of professionalism and courtesy
  • Excellent time-management and organizational skills
  • Ability to multitask and pivot at a moment’s notice
  • Ability to work well with others
  • Ability to work independently
  • High School degree or equivalent
  • 1 year previous experience working as a receptionist (preferred)

WORKING CONDITIONS:

  • Work hours are Monday thru Friday 7:30 a.m. to 4:30 p.m.
  • This is an office-based position with the majority of the job functions being on a computer or phone.
