Position Purpose

The primary purpose of this position is to perform duties necessary to the smooth day-to-day operations of the reception desk at The Terraces.

Specific Duties

  • Process Accounts Receivable via AOD entry.                                        
  • Prepare deposits and record various bookkeeping transactions, including distributing and posting resident payments.
  • Assemble admissions packets, marketing brochures, assisted living information packets, and making sure that stock of all three is maintained.
  • File documents; make and distribute copies; format letters and documents; prepare mail merges for large monthly mailings.
  • Complete credit card reconciliation for assigned departments.
  • Order office supplies for departments, as needed.
  • Answer the telephone and transfer calls to the appropriate department.
  • Maintain day book with necessary information to keep other shifts informed.
  • Monitor emergency intercom system and respond to all emergency calls from residents, as well as fire alarms.
  • Monitor radios.
  • Assist the marketing team, giving tours of the community, answer phone inquiries, help with occasional marketing / community relations projects.
  • Maintain uniform inventory for departments and order uniforms as needed.
  • Perform other duties as assigned.

Skills and Abilities

 

Office Equipment

  • Operate cell phone and multi-line telephone to place, receive, transfer calls, and to retrieve voice mail messages
  • Operate 10-key adding machine to add, subtract, divide, and multiply numbers
  • Operate paging system at front desk, as required
  • Operate fax machine to send or receive documents    
  • Operate copier to copy and collate documents

Computer Software and Operating Systems

  • Operate personal computer with Windows operating system to utilize programs to input, format, edit, save, print, and transmit data.   
  • Advanced knowledge of PowerPoint to create presentations.
  • Advanced knowledge of database management to be able to extract reports and mine data for analysis as needed.
  • Advanced knowledge of spreadsheets (Excel) and word processing programs (Word) to input, format, edit, save, print, and transmit data.   
  • Advanced knowledge of Internet and e-mail to access, retrieve, save, print, or transmit documents or data files.
  • Utilize proprietary, custom, or online programs or databases to input, format, edit, save, print, and transmit data.
Qualifications

Education and Experience

  • High school diploma or GED preferred

  • One (1) year of business school or two (2) years’ experience in a similar position

  • Experience in office procedures and ability to operate various office equipment, including telephones

  • Knowledge of Microsoft Office applications and ability to learn new applications

  • Ability to work with the public, with an emphasis on interaction with the elderly

  • CPR and First Aid certifications

Essential Physical and Mental Requirements


  • The incumbent must be at least 16 years of age.

  • The incumbent must be a “self-starter” and perform multiple tasks simultaneously and work under time and/or deadline pressures.   

  • Required vision abilities include close up and distance, peripheral vision, depth perception, and ability to adjust focus.

  • Occasionally carrying up to 12 pounds, push / pulling up to 20 pounds, and lifting up to 40 pounds.
