Position: Receptionist/Office Administrator

Summary/Objective:
The Receptionist will be the face and voice of the organization and greet, assist, and provide direction and information to clients, visitors, and other guests.
Essential Functions:
- Welcome and check in clients, visitors, and guests, determine the purpose of the visit, and connect visitors with host.
- Answer, screen, and direct phone calls to staff; take messages and schedule appointments.
- Make business trip bookings such as flight or hotel accommodations for employees.
- Arrange and pick up breakfast or lunch orders for customer visits.
- Receive mail, documents, packages, and courier deliveries and deliver/distribute items.
- Monitors visitor access and issue badges when required, including online web maintenance.
- Monitor/maintain company vehicle including making appointments for regular maintenance as well as keeping an employee vehicle check-out log.
- Performs basic filing and recordkeeping (Badges, Birthday cards, attendance hotline ETC…)
- Order, stock, and monitor office supplies and maintain an organized storage room.
- Maintain reception and lobby area standards accordingly.
- Water office and lobby area plants and manage/maintain their appearance.
- Distribute and record birthday gift cards for employees.
- Aid in coordination, planning, and vendor booking of company events.
- Monitor janitorial and maintenance work (including bathrooms and other communal areas).
- Keep track of conference room availability and book meetings accordingly.
- Assist in tracking and recording maintenance for monthly HR 5S submissions.
- Performs all other duties as assigned, such as administrative and clerical support tasks.
- Monitor company apartment cleanliness/supplies and keep record of guests.

Work Environment:
- This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Occasionally there may be some tasks that require attention on the production floor which will require the appropriate PPE to be worn.
- Must be 18 years or older.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
While performing the duties of this job, the employee is regularly required to talk or listen. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. The handling of office and other supplies including copy paper of up to 25lbs will be required.

Little to no travel is expected for this position.
Required Education and Experience:
- High school diploma or equivalent required.
- 1-3 years related experience and/or training; or equivalent combination of education and experience.
- Competence in the following Microsoft Office Products: Excel, Word, and Outlook
- Ability to apply common sense understanding to carry out instructions furnished in written, oral form.
