Position: Receptionist
Location: Waynesville, NC
Hours: Monday–Friday, 8:00 AM – 5:00 PM
Pay Rate: 24.13
The Receptionist serves as the first point of contact for visitors, customers, callers, and employees at the Waynesville facility. This position is responsible for creating a professional and welcoming experience while managing the front desk, central phone and paging systems, visitor access, mail and package distribution, and general office organization.
The Receptionist also provides administrative support to Executive and Management teams, assists with employee events and engagement activities, and helps ensure day-to-day office operations run smoothly and efficiently.
What You’ll Be Doing- Greet visitors, customers, vendors, and other guests in a professional, courteous, and friendly manner.
- Manage incoming calls through the central phone system and direct callers to the appropriate employees or departments.
- Page and locate employees as needed and provide information necessary to complete incoming phone contacts.
- Notify appropriate plant personnel when visitors arrive.
- Assist visitors with the sign-in process and ensure required Personal Protective Equipment (PPE) is worn before entering the manufacturing facility.
- Provide secured guest Wi-Fi access to visitors upon request.
- Maintain professionalism, discretion, and appropriate business etiquette when interacting with internal and external contacts at all levels of the organization.
- Maintain an organized, clean, professional, and properly stocked front office and reception area.
- Keep employee mailboxes organized and up to date.
- Receive, open, date, sort, and distribute incoming company mail and correspondence.
- Receive and distribute packages delivered to the front office, including FedEx and UPS shipments.
- Maintain and update employee bulletin boards and TV monitors located in breakroom areas.
- Maintain office supply inventory, anticipate supply needs, order materials as needed, and verify receipt of supplies.
- Assist with scheduling annual biometric screenings, hearing tests, safety shoe truck events, and other onsite activities.
- Coordinate catering and luncheon arrangements for meetings and company events.
- Order floral arrangements, gifts, and other items for associates as needed.
- Contact repair and service providers when requested.
- Support special projects and ongoing administrative assignments independently and as part of a team.
- Assist other areas of the office as needed to support workflow and business needs.
- Participate in Continuous Improvement activities.
- Serve as a member of the CHEER team, attend regularly scheduled meetings, and help lead employee engagement activities.
- Prepare materials and supplies for career fairs and recruiting events, allowing company representatives to focus on recruiting and candidate engagement.
- Assist with organizing shared spaces and appropriately purging outdated or damaged documents and materials throughout the facility.
- Maintain a neat and orderly work area.
- Perform additional administrative duties and responsibilities as business needs require.
- You have a high school diploma or GED (required).
- You have strong clerical and administrative skills with knowledge of standard office procedures.
- You have strong computer skills, including experience with Microsoft Word, Excel, SharePoint, and Teams.
- You have excellent written and verbal communication skills.
- You demonstrate professionalism, courtesy, and strong business etiquette when interacting with employees, customers, visitors, and leadership.
- You maintain a high level of integrity, confidentiality, trust, and ethical standards.
- You can remain composed and professional in a variety of situations.
- You are highly organized and able to manage multiple priorities simultaneously.
