What the Job Looks Like (What You'll Do)
- Front Office: Manage the front office and lobby, answer and direct phone calls by the second ring, greet visitors, provide information, and maintain a warm, friendly, and professional environment.
- Customer Service: Welcome guests, offer assistance such as water or coffee, direct visitors and callers to the appropriate party, and provide excellent customer service.
- Administrative Support: Schedule meetings in the conference room, assist with general administrative tasks, and provide support to various departments as needed.
- Office Operations: Maintain a clean and organized lobby, conference room, and office areas; organize the supply room; monitor supplies; and notify the appropriate team member when supplies need to be ordered.
- Mail & Deliveries: Receive, sign for, organize, and distribute incoming mail, packages, and deliveries to the appropriate parties. Prepare and post outgoing mail.
- Records & Files: Set up new property files and maintain organized filing systems and accurate records.
- Accounting Support: Provide support with accounts payable and accounts receivable, including invoice processing, data entry, payment processing, and other accounting tasks as assigned.
- Financial Records: Assist with maintaining accurate financial records and supporting basic accounting functions.
- Meeting & Conference Room Support: Prepare and maintain the conference room, including resetting chairs, wiping down the conference table, and ensuring the room is ready for meetings.
- Office Maintenance: Turn on the lobby TV, clean out refrigerators on Fridays, and maintain the overall appearance of the front office.
- Team Support: Assist co-workers and perform other administrative, accounting, and office duties as directed by the supervisor.
