ISAT Total Support /Tomarco is a leading provider of seismic engineering consulting services and the related products and hardware used for nonstructural seismic bracing and the support of Mechanical, Electrical, and Piping systems. Our focus is geared toward building utility systems within the commercial and industrial construction markets. Our primary focus includes but is not limited to, HVAC, mechanical, piping, distributed electrical systems, plumbing, process piping & fire protection contractors.
Headquartered in Southern California, ISAT also has offices in Northern California, Nevada, Arizona, Oregon, Washington, Utah, Georgia, North Carolina, Chicago, Atlanta, New Zealand, New York, Texas, and Puerto Rico. Additional expansion is expected.
SUMMARY and PURPOSE:
The Receptionist plays a vital role in supporting daily administrative functions and ensuring smooth communication within the branch by providing direct support to the Billing and Branch Managers. This position manages front office operations, including handling calls, mail, documentation, and various clerical tasks, while maintaining professionalism and organization in a fast-paced environment. The purpose of this role is to keep administrative workflows efficient and support branch productivity through clear communication and accurate record-keeping.
ESSENTIAL DUTIES (including but not limited to):
- Provide the day to day Administrative support to the Billing Manager and the Branch Manager.
- Answering multiple phonelines, screening & directing calls.
- Receive, sort and distribute incoming mail.
- Create Sales Orders and Purchase Orders, scanning, copying, filing, etc.
- Prepare correspondence and documents.
- Knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary.
- Operates office equipment such as personal computer, calculator, copier, postal machine & etc.
- Composes, types and edits correspondence, reports, memoranda and other material.
- Ability to sort and file alphabetically and numerically.
- Ability to plan, organize and prioritize work.
- Any project related task such as gathering information, creating binders and presentation materials, entering data, creating charts, etc.
- Forward any incoming PO or Quote to appropriate person.
- Handle all outgoing mail, filing of AP and W-9 end of year tax preparation.
- Ability to generate UPS, Fed-Ex & USPS shipments.
- Pick-up daily lunches.
- Update monthly reports as needed.
- Perform other duties as assigned.
POSITION QUALIFICATIONS:
- Strong Administrative Service Background for fast paced environment.
- Professional and clean appearance.
- Organized, punctual, detail oriented, multi-task & ability to meet designated deadlines is critical.
- Proficient in Microsoft Office a MUST.
- Vehicle and valid drives license a MUST.
- Basic computer skills, Word & Excel.
- At least 5 years Administrative/Receptionist experience.
- Friendly personality and strong work ethic.
- Ability to follow instruction(s) and work independently.
- Be articulate, communicative, and professional with excellent verbal and written communication skills when working with both internal and external contacts.
