CONSTRUCTION SERVICES PRACTICE
Michael Baker International’s Construction Services staff supports clients by acting as their trusted on-site agent through all phases of construction, from pre-design to close-out, by providing qualified construction managers, inspectors, constructability reviewers, schedulers, estimators and safety experts. As new technologies evolve throughout the construction industry, innovative ideas are required to maintain and deliver successful construction projects.
What We're Looking For:
Michael Baker is seeking a professional, organized, and customer-focused Receptionist / Administrative Assistant to support daily operations. This role serves as the first point of contact for visitors, employees, contractors, and stakeholders while providing administrative support to multiple departments. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a commitment to maintaining a welcoming, efficient, and secure office environment.
What You'll Do:
- Must have comprehensive knowledge of the following to effectively assist visitors and employees:
- Project Management Office (PMO) Layout and Organizational Structure
- MDTA/Contractor Personnel and Departmental Functions: Executive, Key/Management, Field/Inspection, Engineering (GEC), Construction (CMI), Environmental, Safety, Document Control, Interns.
- Daily Operations and Meeting Schedules
- Manage conference/training room occupancy
- Greeting and welcoming visitors in a professional manner:
- Maintain and track sign-in sheets for visitors
- Ushering visitors to the appropriate locations of professional staff.
- Manage PMO access and security in coordination with MDTA and the Contractor:
- Key card systems issuance and tracking
- Hang Tag/Hard Hat Sticker issuance and tracking
- Answering and directing phone calls to the appropriate MDTA/Contractor Personnel.
- Handling incoming and outgoing mail and packages.
- Coordinate with the appropriate personnel.
- Maintain a clean and organized reception area.
- Establish and maintain an organized, functional, and welcoming PMO environment:
- Maintain an office inventory log, ordering supplies, and keeping supplies fully stocked.
- Attending meetings and recording meeting minutes.
- Managing distribution, return, and inventory of PPE while maintaining a detailed tracking log of all assigned equipment.
- Provide administrative support to other departments as needed.
What You Need to Succeed:
- High school diploma or equivalent.
- Previous experience as a receptionist or in a related field.
- Excellent communication and interpersonal skills.
- Proficiency with office software such as Microsoft Office.
- Strong organizational skills and attention to detail.
Compensation:
The approximate compensation range for this position is $22/hr - $25/hr. This compensation range is a good faith estimate for the position at the time of posting. Actual compensation is dependent upon factors such as education, qualifications, experience, skillset, and physical work location.
