How you’ll contribute
A Receptionist who excels in this role:
Serve as the first point of contact for patients, visitors, and providers, delivering exceptional customer service in a fast-paced clinic environment.
Answer and direct incoming phone calls, respond to inquiries, and relay messages promptly and professionally.
Schedule, coordinate, and confirm patient appointments while maintaining provider schedules.
Register patients, update demographic and insurance information, and maintain accurate patient records.
Perform general administrative duties including filing, data entry, scanning, faxing, photocopying, and preparing correspondence.
Maintain organized office records and databases while ensuring confidentiality of patient information.
Coordinate workflow and assist with daily office operations to support providers and clinical staff.
Process incoming and outgoing mail and respond to requests for information.
Perform basic financial duties such as collecting payments, making deposits, balancing petty cash, and verifying invoices, as applicable.
Monitor and replenish office supplies while maintaining a clean, organized, and professional reception area.
Collaborate with providers, medical assistants, and other departments to ensure efficient patient flow and a positive patient experience.
Participate in department meetings, trainings, and other assigned projects while adhering to hospital policies and procedures.
What we’re looking for
Applicants should have a high school diploma or equivalent. Additional requirements include:
Previous customer service, receptionist, or administrative experience.
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities with strong attention to detail.
Ability to prioritize competing demands in a fast-paced, patient-facing environment.
Basic computer proficiency, including Microsoft Office and data entry.
Demonstrated professionalism and the ability to maintain confidentiality.
Critical thinking skills with the ability to work independently and exercise sound judgment.
Ability to remain calm, courteous, and service-oriented while working with patients, providers, and staff.
Preferred Qualifications
Associate degree.
Previous experience in a medical office, physician practice, or healthcare setting.
Experience scheduling appointments and coordinating provider calendars.
Familiarity with electronic medical records (EMR/EHR) systems.
Knowledge of medical terminology and healthcare office workflows.
Experience handling insurance information, patient registration, or medical records.
Cash handling or basic accounting experience.
