About the RoleThe Administrative Services Assistant serves as the first point of contact for visitors, patients, families, volunteers, vendors, and callers. This position is responsible for ensuring a professional and welcoming front office while providing administrative support that keeps our organization operating efficiently.
This role requires exceptional customer service, professionalism, discretion, and the ability to manage multiple priorities while maintaining a calm and positive demeanor.
What You'll Do- Welcome every visitor with professionalism, warmth, and compassion.
- Answer and direct incoming calls using a multi-line telephone system.
- Serve as the organization's front desk ambassador, creating a positive first impression for everyone who enters our facility.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Process and maintain front desk donations and related documentation.
- Monitor the reception area to ensure a welcoming, organized, and secure environment.
- Provide administrative support to departments across the organization, including:
- Scheduling appointments and meetings
- Preparing reports and correspondence
- Copying, scanning, filing, and document management
- Assisting with special projects as needed
- Deliver internal mail throughout the organization.
- Train new and PRN reception staff on front desk procedures.
- Maintain and update front desk procedures and reference materials.
- Perform additional administrative duties to support organizational operations.
• Monday–Friday during standard business hours. 8:00 AM - 5:00 PM
- High school diploma or equivalent
- Strong computer proficiency, including Microsoft Office applications
- Excellent verbal and written communication skills
- Outstanding customer service and interpersonal skills
- Strong organizational and time management abilities
- Ability to multitask while maintaining attention to detail
- Professional judgment, integrity, and discretion with confidential information
- Previous receptionist, administrative assistant, or office support experience
- Experience in a healthcare, hospice, nonprofit, or customer service environment
- Experience working with multi-line telephone systems
