Position Title: Administrative Assistant (Radiology/Imaging)

Supervisor’s Title: Radiology Manager
I. Position Summary: In general, the Radiology Administrative Assistant works collaboratively and independently performing a variety of administrative functions for the Radiology department. The administrative assistant in Radiology is also responsible for providing administrative and customer service support to patients, doctors, and colleagues professionally and supportively.
II. Principal Functions and Responsibilities:
Reception and Customer service
Greets patients, visitors, and staff, directing them to appropriate personnel and/or destination/room, helping as required.
Registers patients, confirming/validating patient demographic, insurance, and other required information as appropriate.
Explains hospital/department policy and procedures to patients, visitors and staff as necessary (including infection prevention and control).
Answers the telephone, sends/received faxes, responding to enquiries within scope of authority, or, directing to most appropriate person.
Takes, prioritizes, and relays messages for staff and/or patients. Locates staff, pages health-care professionals as required.
Opens, sorts and distributes incoming mail and other materials.
Collaborates and supports other departments to ensure optimal patient experience.
Offer back up services for case management including contacting insurance companies for verification and clearance, patient call backs and inpatient support.
Offers support, encouragement, and occasional training to patient access clerks.
Support the flow of patients through CT, Xray, MRI and Ultrasound.
Training and maintain knowledge and serve as PACS administrator. This entails efficient operations of both NOVARAD and DR PACS systems. Works closely with IT, GEM State, IMI and Saint Alphonsus to troubleshoot and resolve any errors.
Pushes radiology images in PACS.
Authorize and send DR and Primordial requests for new and terminated team members.
Calls provider offices, requesting modified orders and lab work as needed prior to the patient’s imaging appointment. Verifies Preauthorization has been done.
Assists in exam preparation and verifies patients’ lab results prior to imaging procedures in accordance with the Radiology Exam Ordering Guide
Coordinates with Radiology Technologists to schedule field service engineers to come on site for the assessment and maintenance of radiology equipment.
Daily triages the patient que in Cerner and schedules STAT exams.
Manages and updates contact information for relevant billers, coders, and medical records staff regarding orders and results.
Chaperones patients, when needed.
Perform other duties to support program(s) and/or department(s) as assigned.
Request/receives reports from external health-care facilities as directed.
Requisitions and maintains office/medical supplies; counts and labels inventory as required. May be required to stock unit carts and/or supply areas.
III. Position Qualifications/Requirements:

Working understanding of clinical terminology
Computer skills, including Microsoft Office applications (word, excel, SharePoint), use cloud-based programs, Adobe, NOVARAD, and DR.
Strong organizational and time management skills

Ability to work with sensitive information confidentially.
