Duties and Responsibilities:
- Primary Focus: The primary focus of this position is Document Control. The Quality Systems Specialist will provide effective and accurate Quality Systems and Food Safety administrative support to various departments, including Administration, Quality, Engineering, Maintenance, Tool Room, Shipping & Receiving, and Production at Kilgore facilities.
- Document Control Process: The candidate will work with the quality team to ensure the document control process is effective and efficient. They will ensure documents are readily available to users and that the plants comply fully with ISO, FSSC, and medical standards related to document control.
- Support and Accessibility: The Quality Systems Specialist will support the manufacturing organization by maintaining Document Control. This includes keeping documents up-to-date, well-organized, and easily accessible to all users. Additionally, they will ensure documents are audit-ready for both internal and external reviews.
- Implementation and Organization: The candidate will drive the implementation of actions that support document-related activities. This includes sorting, combining, and organizing documents for review, as well as facilitating the closure of process gaps in documentation.
- This position is responsible for the launch of Annual Quality Training schedule, monitoring it and escalating when completion goals are not achieved, assigning training and education to new and existing staff on quality improvement principles, practices, and tools.
- Responsible for supporting, documenting and communicating Food Safety and Quality alerts.
- The candidate will leverage their auditing skills to engage and support audits at both the external audits, ensuring compliance with established standards, identifying discrepancies, and recommending corrective actions to maintain the integrity and quality of operations.
- In addition to Quality Systems candidate is also required to have a good understanding of manufacturing processes and provide administrative support to the Quality Engineers and Quality Manager such as but not limited to data, identifying root causes, and collaborating with relevant departments to support customer complaint investigations.
- The candidate will work closely with the Production team to ensure optimal staff allocation. This includes assessing staffing needs, coordinating schedules, and addressing any conflicts to maintain efficient operations and meet production targets.
- The candidate is required to Act as INFINITY software support.
- Follow all food safety guidelines while on the manufacturing floor.
- Report any deviation from food safety protocol to the functional responsible personnel.
- Each employee will do one bi-annual Quality/GMP Job Observation located on the EHS website.
- Complies with all OPEX (Operational Excellence) policies, procedures, and guidelines required of them in their current role; completes all required training, audits, and compliance tools.

- Minimum education is an associate’s degree and three years experience, or equivalent work experience in a professional business environment working with people at all levels inside and outside the company.
- This position requires proficiency in grammar, composition, spelling, arithmetic, and office protocol, as well as proficiency in Word, Excel, PowerPoint, Visio, Schedule Plus, and e-mail.
- Ability to make independent decisions is essential to this position.
- Strong organizational, time management and communication skills are required.
- This individual must be capable of accepting and successfully completing projects requiring effective communication and coordination with Managers, Engineers and Operations personnel.
