Department Summary

You will join our Service Business Line, within the Supply Chain family, handling customer orders being executed globally. This team is responsible for proposals and order execution, and ensuring our mining products and solutions are delivered to customers efficiently, profitably, and on schedule.

Role Summary

As a Proposal & Order Execution Specialist, you will be responsible for processing, verifying and submitting the proposals to our global customers and booking the Sale Orders, submitting the Order acknowledgements and accountable for End to End execution of orders. In this role, you will serve as the pivot point for the order intake, ensuring alignment and seamless coordination across customers, part cataloguing, procurement, logistics and CRM.

You will play a critical role in submitting the error free proposals ontime to our customers and book the customer POs, update the status received from buying cum expediting team, accountable for revenue and DIFOT. This position requires good communication skills and a sense of urgency with quality of work. Following the SOPs and understanding the purpose of the proposals

Key Responsibilities

  • Own the end-to-end proposal process for standard spare parts from RFQ receipt to quotation submission
  • Review customer inquiries and select appropriate spare parts using internal systems and reference tools
  • Collaborate with Sales, Customer Support, Engineering (where needed), and Supply Chain for quick input and validation
  • Ensure proposals are accurate, within target lead times, and aligned with pricing policies and discount structures
  • Handle high volumes of proposals while maintaining quality, consistency, and response time expectations
  • Work closely with the shared services team (if applicable) to streamline proposals and handover of orders
  • Track and improve proposal turnaround time (TAT), win ratio, and customer feedback
  • Improves customer service quality and Develops customer contacts to build long-term relationships with key customers.
  • Translate customer requirements into orders. Take ownership of the end-to-end process and communicate with all stakeholders.
  • Manages order handling by fulfilling our customers’ expectations (Response time/Quality/DIFOT) and increases customer engagement.
  • Collaborates closely with colleagues in sales and specialists in other departments on questions relating to technical issues, products, services. during proposal and order execution.
  • Follow up on CRM opportunities in collaboration with sales managers and other stakeholders.
  • Handles claims, minimizing potential negative impact towards our customer.
  • Follows-up on Overdue receivables
  • Obtain the status from Purchase and submit the progress reports to the designated customers regularly. Being the pivot point for customer grievances redressal point.
  • Ensure that proposals and SOs are stored and documented as per internal guidelines
  • Assist with export control classification, basic compliance checks, and data accuracy in proposal tools
  • Coordinate with Procurement for price and availability of non-stock or equivalent items
  • Contribute to proposal process improvement initiatives and Order handling initiatives and documentation of standard work practices
  • Participate in system and tool enhancements related to standard parts quoting

Qualifications & Experience

  • Degree in Mechanical Engineering, Electrical Engineering, Industrial Engineering, or a related field.
  • Minimum 3+ years of proven experience as a proposal specialist / buyer / order execution specialist / procurement specialist in mining or heavy industry projects.
  • Expertise in MS Project is mandatory. EPICOR / Oracle is an added advantage
  • Experience in Power BI dashboard creation (advantage).
  • Fluency in English required; multilingual is a plus.
  • Experience interacting with customers, supporting proposals, and managing deadlines under pressure.
