The Promoter Coordinator plays a vital operational role within the South Africa Go to Market team, supporting the effective deployment, administration, and day-to-day coordination of Brand Ambassadors (BAs) across PayJoy’s retail and kiosk network. Reporting to the National Sales Manager, this role bridges field execution and management oversight by ensuring promoter records are accurate, onboarding is completed on time, performance is monitored, and first-level issues are resolved efficiently. The Promoter Coordinator enables the sales team to operate at scale by providing structured administrative and operational support that drives BA productivity and compliance.
Responsibilities
- BA Onboarding & Registration: Administer the dissemination of registration links for new Brand Ambassadors, track completion status, and ensure all BAs are fully registered and activated ahead of launch dates. Coordinate logistics for onboarding communications and virtual or in-person training sessions.
- BA Master File Management: Maintain and update the BA Master File with accurate contact details, store assignments, performance status, and any changes resulting from movements, terminations, or new placements. Ensure records are current and accessible at all times.
- Daily Sales Monitoring & First-Level Follow-Up: Check daily sales performance across the BA network using dashboards. Proactively follow up with underperforming or non-compliant BAs and escalate persistent issues for further action.
- Promoter Movements & Transitions: Document and communicate approved promoter transfers between stores or regions. Liaise with agencies and field teams to ensure smooth transitions and that all system records reflect updated assignments timeously.
- Agency Liaison & Coordination: Act as a first point of contact for agencies on minor staffing changes, BA availability queries, and day-to-day coordination tasks. Support bi-weekly agency check-ins by preparing relevant performance updates and flagging operational bottlenecks.
- Fraud Training Coordination: Coordinate the logistics of fraud training sessions for BAs, including scheduling, attendance tracking, and distribution of training invites. Support the review and escalation of flagged BA profiles
- Reporting & Dashboard Support: Extract and compile structured weekly performance reports from available dashboards for review. Flag non-compliance, attendance concerns, and sales trends proactively.
- PayJoy Connect & Continuous Training: Ensure Brand Ambassadors have access to up-to-date training content on and track assessment completion as part of ongoing compliance requirements.
Requirements
- Minimum 2–3 years of experience in a sales support, field coordination, or administrative role within a sales or marketing environment.
- Advanced use of Google Sheets for reporting and analysis.
- Basic SQL knowledge for data queries and reporting integrity.
- Excellent analytical and problem-solving skills.
- Ability to manage cross-functional processes and stakeholders.
- Strong communication and reporting skills.
