At Victaulic, we’re committed to constructing a better world for and with our people.

Let’s Build a Better World Together.

Our commitment to our people is built on four pillars:

  • We build from within.
  • We stand behind our people.
  • We foster an environment for constant learning.
  • We engineer change for a more stable and sustainable world.

Your Impact Starts Here

We’re looking for a Portfolio Project Management Software Administrator to join our Engineering Operations team at our Corporate location, reporting to Engineering Design Leadership. In this role, you’ll own and optimize our Monday.com platform across the New Product Development (NPD) organization, ensuring our engineering and product development teams have the workflows, dashboards, and automations they need to bring innovative mechanical piping solutions from concept to market efficiently.

You’ll work closely with engineering managers, program managers, and senior leadership to translate business requirements into effective platform solutions, standardize project tracking across multiple concurrent development programs, and help teams move from legacy processes to modern approaches such as Agile hybrid and iterative workflows. This is an opportunity to be the go-to platform expert for NPD and shape how the organization manages its most important development programs.

Engineering Operations brings together Engineering Design, Engineering Laboratory, Technical Publications, and Data Analytics, and supports Engineering Innovation Sprints, New Product Development, and Sustaining Engineering as part of the broader Engineering organization.

What You’ll Build & Own
  • Administer the Monday.com platform for the NPD organization, managing workspaces, boards, dashboards, and user permissions with full administrative control.
  • Design portfolio-level views that give leadership real-time visibility into project health, resource allocation, and milestone progress across the development pipeline.
  • Standardize board and doc templates, column structures, naming conventions, and color-coding, including phase-gate reviews, design reviews, test plans, and launch checklists, to drive consistency across teams.
  • Build native Monday.com automations and advanced Make.com integration scenarios that connect PLM, ERP, CAD, and other enterprise systems and streamline recurring workflows such as stage-gate reviews, design reviews, and engineering change orders.
  • Develop formula, mirror, and connect-boards solutions, plus sprint boards for Agile and Agile-hybrid teams, to support timelines, resource allocation, budget tracking, backlog management, and critical-path management.
  • Partner with engineering leaders and program managers to map NPD processes into platform structures, identify bottlenecks, and implement solutions, including Kanban, Gantt, calendar, and chart views that support portfolio prioritization and capacity planning.
  • Define and maintain a standardized KPI framework, and build cross-team and executive dashboards and automated reporting cadences that track measures such as cycle time, milestone adherence, time-to-market, engineering change order throughput, resource utilization, and budget variance.
  • Analyze KPI trends to flag underperformance early and recommend data-driven corrective actions, ensuring KPI definitions, calculation methods, and data sources are documented and consistently applied.
  • Lead change management, training, and adoption by developing training materials and quick-reference guides, delivering live sessions, serving as first point of contact for platform support, and developing champions and power users across R&D, marketing, engineering, and operations.
  • Monitor adoption metrics and user feedback to continuously improve board design and product development efficiency.
  • Establish and enforce data governance policies, conduct periodic audits of board structures and data quality, and govern data flows through native and Make.com integrations so information remains accurate, secure, and compliant.
  • Stay current with Monday.com and Make.com product releases and API capabilities, and evaluate their applicability to Victaulic’s NPD workflows.

What You Bring
  • Bachelor’s degree in Engineering, Information Systems, Project Management, Business Administration, or a related field, or equivalent professional experience
  • 3+ years of hands-on experience administering Monday.com (or a comparable platform such as Asana, Smartsheet, or Jira) in a project or portfolio management capacity
  • Demonstrated experience supporting cross-functional product, engineering, or operations teams
  • Strong understanding of project portfolio management (PPM) concepts, including resource planning, capacity management, and stage-gate or phase-gate development processes
  • Proficiency in building Monday.com automations, integrations, dashboards, and custom workflows
  • Proven ability to define, track, and report on KPIs across multiple teams or departments, translating raw project data into actionable performance insights
  • Excellent communication, training, and documentation skills, with the ability to translate technical capabilities into practical solutions for non-technical stakeholders
  • Strong analytical and problem-solving skills with a continuous improvement mindset
  • Demonstrated ability to engage and influence stakeholders at all levels, from individual contributors to senior leadership
  • Demonstrated discretion in handling confidential information, including budget data, resource plans, and product roadmaps

You thrive at the intersection of technology and process. You enjoy making complex systems intuitive, and you take pride in enabling teams to work smarter. You’re comfortable working with engineering teams and can speak their language while understanding the strategic perspective of portfolio leadership. You are proactive, detail-oriented, and energized by the opportunity to shape how an organization manages its most important development programs.

What Sets You Apart
  • Monday.com certification (e.g., Monday.com Administrator or Advanced User); PMP, CAPM, or similar project management certification; Certified Scrum Master (CSM), Professional Scrum Master (PSM), or other Agile certification
  • Experience in the mechanical engineering, piping, or manufacturing industry
  • Familiarity with Product Lifecycle Management (PLM) systems, ERP platforms (e.g., SAP, Oracle), or CAD data management tools
  • Advanced experience with the Monday.com API, custom apps, and integration platforms (e.g., Make.com, Zapier, Slack, Microsoft Teams)
  • Background in Lean, Six Sigma, or Agile methodologies as applied to product development
  • Experience managing software adoption in organizations with 100+ users across multiple departments
  • Experience with data visualization and dashboard design for executive portfolio reporting
