The Role
Overview

LoopTech is a branch of Cook Medical’s internal AI R&D group, running a startup-style sandbox where generative-AI software ideas rapidly advance from concept to production. As one of the first five team members, you will operate as a human-plus-agent hybrid—wielding LLM-powered assistants configured by the dev team—to turn PRDs into actionable projects, curate agile backlogs, sustain living documentation, and embed engineering culture, standards, and lightweight processes that scale with LoopTech’s growth.

Responsibilities

Project & Collaboration

  • Shape project scopes, milestones, and resource plans in partnership with engineers, UX designers, and architects. Guide each initiative from discovery through launch with clear decision gates and risk logs.
  • Facilitate a pragmatic blend of Scrum and Kanban ceremonies, balancing async updates with focused sync sessions. Use agentic assistants to draft agendas, capture outcomes, and keep Linear / GitHub Projects current.
  • Curate backlogs by breaking down PRDs into well-formed tickets, sequencing work for a small, high-impact team. Continuously reprioritize based on capacity, dependencies, and strategic value.
  • Track progress through dashboards and lightweight metrics, surfacing blockers early and coordinating swift remediation. Provide concise status snapshots tailored to executives and developers alike.

Essential Job Functions / Duties

  • Clarify requirements, phases, and deliverables for each project. Motivate cross-functional teams to hit committed targets on schedule.
  • Maintain living project plans that broadcast tasks, owners, due dates, and status. Revise plans proactively when scope or priorities shift.
  • Leverage LLM agents to generate ticket templates, draft documentation outlines, and manage project activities. Validate agent output and refine as needed for clarity and completeness.
  • Oversee change requests by balancing research experiments with roadmap commitments. Safeguard timelines while enabling innovation.
  • Champion documentation hygiene in Obsidian or Notion by enforcing lightweight templates. Schedule periodic reviews to keep knowledge current and searchable.
  • Promote a culture of continuous improvement by collecting retrospective insights. Convert lessons into updated playbooks and process tweaks.

Skills & Competencies

  • LLM & Prompt Engineering: Design prompts, engineer agent context, and supervise agent workflows across multiple simultaneous workstreams to facilitate accelerated PM tasks. Measure and report efficiency gains derived from these tools.
  • Agile Tooling: Configure Linear and GitHub Projects boards, filters, and automations. Ensure dashboards reflect real-time status for all stakeholders.
  • Communication: Translate technical progress into crisp business insights for executives and developers. Tailor message depth to each audience without losing precision.
  • Risk & Dependency Management: Identify critical paths and external constraints early. Develop mitigation strategies that are tracked and revisited throughout the project life cycle.

Additional Duties

  • Surface and conduct independent research on emerging generative-AI technologies relevant to project management. Present actionable findings to the team.

Qualifications

Minimum Work Experience / Educational Requirements

  • Education: B.A./B.S. in business, engineering, or a related field, or equivalent practical experience. An advanced degree is welcome but not required.
  • Project Leadership: At least five years managing concurrent software projects with cross-functional teams. Demonstrated success delivering objectives under tight timelines.
  • AI Tools: Hands-on experience integrating LLM or agentic tools into project-management workflows. Evidence of measurable productivity improvements is preferred.
  • Adaptability: Proven ability to juggle shifting priorities and adjust plans mid-stream. Consistent record of keeping projects in forward motion despite uncertainty.

 Physical Requirements / Work Environment

  • Work primarily at a computer in an office or home-office setting. Ergonomic accommodation is available upon request.
  • Limited face-to-face interaction, as most collaboration occurs remotely. Maintain clear communication through video and chat tools.
  • Participate in occasional early-morning or late-evening calls to align distributed teams. Flexible scheduling can offset off-hour meetings when feasible.
  • Exposure to flashing lights during occasional on-site demos or testing.
  • Travel domestically to Indianapolis or other Cook Medical sites for planning sessions and demos as needed. Travel frequency is typically light.

Employee Requirements

Sign confidentiality and non-competition agreements before onboarding. Comply with all LoopTech and Cook Medical policies, including the Employee Manual, Code of Conduct, Electronic Information Policy, and HIPAA guidelines.
