Key Responsibilities

Document Package Transfer In / Out:

  • Attend the documentation hand-over process from Pre to Post-Sales teams once a project has been won or has a very high likelihood.
  • Facilitate the document package and transfer process for projects going from Post-Sales to Project Management.

ICA Technical Reviews:

  • On receipt of the Document Package, interrogate the documentation to ensure buildability and budget compliance.
  • Review all aspects of the proposal, from Statement of Compliance through to Commissioning and Hand-over, including provision of Training and Documentation requirements to the customer.

Engineering re-estimate:

  • Once Technical Review is complete, engage with our partners, contractors, and vendors to assure the most cost-effective and technically sound solution has been selected by the Pre-Sales teams.  Work with Product Managers, Service Teams, and our source factories (where necessary), to ensure the best possible and cost-effective solution has been selected for the project.

Technical Submittals post Purchase Order:

  • During the Post-Sales phase, attend to all project meetings on scope of supply, technical qualifications and testing procedures and programs are understood by Vertiv associates, contractors, other vendors, and our customer.
  • Assist with the ownership of the project through to delivery, commissioning and hand-over.
  • Ensure a thorough hand-over process to Project Management when the units have arrived in country.

Site and As-Built Drawing Management:

  • Operate a comprehensive documentation register for all project files and ensure the latest revisions are uploaded to the company server.
  • Check new revisions for details affecting Vertiv’s scope of supply and quickly communicate any impacts to Vertiv’s technical, cost and schedule impacts, back to the customer and the Sales and Projects team for management of variations.
  • Provide a completed set of project documentation to the Project Management Team on delivery of the project for hand-over to the client.

Technical Procurement Specification:

  • Where necessary, prepare a detailed Scope of Supply to Procurement, where Vertiv contractors and vendors are required to undertake works on our behalf.   Documentation should be thorough enough to be used by procurement to gain the necessary number of quotations and enable tensioning of vendors to occur.
  • Scopes of Supply should also ensure there are no areas of overlap or gaps in scope, reducing our risk of double-ups or variations from our vendors.

Scope Changes

  • Liaise with Sales and Project Managers to capture all site, scope and testing departures from our original submission, are captured, and highlighted to the customer.  Provide variation documentation as and when required to ensure Entry margins are not eroded through the span of the project.

Technical Submittals

  • Manage revisions and updates to site documentation post the Purchase Order.   This will include incorporating documentation changes into revised Statements of Compliance and other affected documents.

Drawings

  • See Technical Submittal, above.
  • Work with PSA team to have as-built drawings developed and updated as necessary, ready for site hand-over.

Site Commissioning Co-ordination

  • Actively engage with site commissioning teams early in the project cycle to develop a thorough understanding of site requirements and advise Vertiv’s position.   Engage with Service and PM teams to ensure thorough understanding.
  • Work with the Commissioning Engineer to develop detailed test scripts that align with the customer requirements, Compliance Statement and costed BoW(Bill Of Work).  Identify gaps and provide proposals for any uplift that may be identified.
  • Be available on site, as necessary to provide support to Service and Project Management Teams.
  • Collect Test results and Service FSR’s to incorporate into the hand-over documentation pack.

Continuous Improvement:

  • At the end of each project, develop, in conjunction with the Project Managers, a list of Lessons Learned on the project and schedule a discussion with the PSA team to walk through the document.  The purpose of this step is to promote a higher level of understanding to the PSA team and improve the quality of submissions that go out to our customers.
