Responsibilities

Financial Management (grant/contract related):  As Project Manager of  C-TIER, this position will now interface with the university as Financial Manager/Designee and with sponsor on all local, state, and federal grants and contracts including but not limited to the following: Create, manage, and revise business model, programming model and budget for all grants and contracts. Management of funds and transactions within university systems and in negotiation and communication with local, state, and federal sponsors. Frequent Checks of all accounts (including grants, foundation, IDCR, and revenue accounts) related to C-TIER grants or contracts, close consultation with Principal Investigator regarding all spending, revisions, over expenditures, errors, transfers, etc. Processing of all PI approved financial transactions and spending.

Work with PI and departments within the University to ensure compliance and fidelity with use of local, state, and federal grant funds, including match verification; serves as a designee for the PI; Manages and approves time for all temporary staff and students on grants. Utilizes and performs procurement and Oracle operations to execute financial functions. Investigates abnormal transactions and takes corrective actions when needed. Audit, prepares, manages, approves, and reviews documents for compliance and processing. Prepare monthly budget reports with director to go over all our grants and lead meetings with other center employees to review expenditures. Supervise completion of administrative tasks.

Assists in budget preparation and Cayuse record development/management on grants. Reviews all proposal summary forms, assists in preparing contract routing forms, advanced account requests, sub-award paperwork.

Employee Management and Leadership: Create and manage student and temporary worker contracts, emeritus faculty contracts, and co-PI faculty summer contracts. Manage communications with undergraduate, graduate students, temp employees and faculty members via Basecamp platform. Provide guidance to faculty, staff and other employees of the centers in the adherence of University, State and Federal policies and regulations. Supervises student and temp employees and graduate assistants on grant-funded projects. Manage background check and clearance process for municipal districts and partnering organizations to ensure compliance with all level III clearance for working with minors. Audit Biweekly timesheets and work with director and students when there are errors before they are approved. 

Program and Project Management: Initiates and organizes recruitment, hiring (including interviewing), and training of new student and temp employees. Coordinate with sponsors and PI/director on monthly meetings. Manage outreach programs, including communications with, sponsors, vendors, and other stakeholders. Develop and implement compliance tracking processes and databases. Coordinate data collection efforts for center and grant programs. Coordinates administrative/clerical actions which includes scheduling, reservations, communication documents. Assists with overall project management; ensures goals and milestones are met in a timely manner; assists with management of daily project operations.

Inform center of new policies and trainings needing to be completed. Regularly attend Admin meetings on new University procedures and initiatives as needed.

Communication and Stakeholder Engagement: Plans, coordinates and implements special events and communicates and coordinates with different vendors and participants including developing and leading K-12 or undergraduate student training sessions. Represents centers with diverse stakeholders; responsible for center communications with industry and community partners.

Performs other related duties as assigned.

Qualifications

Bachelor’s degree and two to five years of appropriate experience. Relevant experience may substitute for required education.
