Position Summary

Reporting to the Associate Vice President for Classroom to Career Initiatives, the Assistant to the AVP & Special Projects Manager is a multi-faceted role that is responsible for managing the coordination, implementation, progress, and completion of projects to support units across the Classroom to Career Hub, and administrative assistance and budget management for the Associate Vice President and C2Hub Core Operations Team. The position responsibilities are broad, dynamic, and essential to the overall operations of the university and in particular to effective student support. The position calls for an individual who is interested in diverse work projects, is detail oriented and an excellent communicator, enjoys a fast-paced and student-focused environment, and who is able to work autonomously. The position also calls for a creative solution-oriented problem solver, and for a professional who exercises sound judgement. 

 
As MSU Denver seeks to be the national leader in educating students for tomorrow's careers, the intent of the Classroom to Career Hub is to be forward-thinking and ensure programs are aligned to Colorado workforce development trends. The office houses variety of functions that relate to student career development, scholar support, faculty engagement, and employer relations. This position will work collaboratively with leaders across all Classroom to Career Hub departments to facilitate project management and budget oversight and management.

Duties/Responsibilities

40% - Special Project Management Duties

  • Oversee the Classroom to Career Hub budgets and engage in budget forecasting and other budget requests/projects in collaboration with the Associate Vice President of Classroom to Career Initiatives. 
  • Provide oversight of budget management, purchasing and fiscal transactions. 
  • Serve as intermediary support for C2 Hub teams and VPSA to ensure all respective team budgets are balanced and in alignment with university policy and procedures.
  • Coordinate and manage special projects to support the goals of the Classroom to Career Hub, including project mapping, communication with key stakeholders, development of relevant project collateral, and related duties. As needed, participate in and/or lead projects with division-wide or University-wide objectives. 
  • Coordinate the committee and selection processes and manage communication for University-level awards, as well as annual departmental recognition and celebration events. Assist other Student Affairs departments in planning associated recognition event(s) each spring. 
  • As requested, research concepts and promising practices for career development and engage in benchmarking exercises of relevance for the Classroom to Career Hub.
  • Serve as a liaison and/or representative for the Classroom to Career Hub with internal and external projects. In doing so, coordinate information from across the Classroom to Career Hub and distribute relevant information to colleagues. 
  • Serve on student affairs and University-wide committees that support major events, divisional initiatives, and related projects. 
  • Lead or participate in other committees, initiatives, or department or University efforts as required. 

 
40% - Assistant to the AVP Duties  

  • Manage the calendar for the AVP, liaising appropriately with internal and external colleagues to do so. 
  • Schedule recurring and ad hoc meetings and/or events on behalf of the AVP, including drafting and distributing agendas + meeting minutes, verifying participant attendance, and related communication. As requested, prepare materials for meetings and events for which the AVP is leading and/or attending. 
  • Serve as liaison and first point of contact when representing the AVP in communication with internal and external departments, organizations, and groups through a variety of modalities including phone, emails, meetings, and one-on-one conversations. 
  • As requested, attend meetings with or in place of the AVP and take accurate notes/minutes for distribution. 
  • Track materials and/or approvals requested of the AVP, assist with scheduling approval and related tasks for the AVP, and ensure appropriate record keeping of approvals. 
  • Assist with logistics of AVP travel arrangements and off-campus meetings/events. 
  • Assist with Classroom to Career Hub and Student Affairs communication initiatives, including collaborating with the Associate Director of Communications and Operations to draft communication on behalf of the AVP and edit documents and materials. 
  • Collaborate with the Associate Director of Communications and Operations to maintain updates to Classroom to Career Hub organizational charts and communication listservs, as well as distribute information and updates to Classroom to Career Hub staff in an efficient manner. 
  • Collaborate with peers within Student Affairs to organize division-wide events, develop and maintain processes and procedures, and otherwise optimize the flow of information and communication within the Student Affairs branch. 

20% - Supervisory Duties

  • As needed, assist with office coverage and/or temporary student employee supervision for the Classroom to Career Hub offices throughout campus.
  • Work closely with all C2 Hub student supervisors and the C2 Hub student employment team to ensure our student staff colleagues are well supported and appropriately integrated into the C2 Hub values, communications, and expectations, while building a sense of belonging among student staff.

Required Qualifications 

  • Excellent written and verbal communication skills (error-free and able to clearly articulate ideas in written format) 
  • Detail-oriented with strong organizational, planning, and multi-tasking skills 
  • Excellent customer/student service skills

Preferred Qualifications 

  • Bachelor’s degree from an accredited college or university
  • Professional work experience in a higher education setting 
  • Master’s degree in higher education administration, public affairs/administration/policy, business/finance or a related field from an accredited college or university 
  • Demonstrated values related to equity and social justice 
  • Experience designing programs and events that promote collaboration and connection 
  • Experience working in a high volume, multi-faceted work environment 
  • Experience using Symplicity and/or Navigate 
  • Experience managing Microsoft Office calendars, delegated email inboxes, and diversified office environments
  • Experience managing budgets and/or related fiscal functions 
  • Experience supervising student staff 
  • Bilingual (English and Spanish) 

Work Hours

  • Full-time, 40 hours per week, Exempt
  • Monday – Friday 8:00am – 5:00pm, Occasional evenings or weekend as needed
  • This position is a campus-based, in-person role with the opportunity for limited alternative/remote work as business needs allow in partnership with the hiring manager. ​

Salary for Announcement

The minimum of the pay range for this position is $45,300. We anticipate the qualified candidate to be placed between $47,300 - $56,650. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. Additionally, Student Affairs has committed to tying our salaries to an understanding of a living wage. To that end, we will not pay less than $47,300.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
