Your Role
At Gensler, we are seeking a detail-oriented Project Information Administrator to support our project teams and information management processes. This role is vital to maintaining our high standards of documentation and administrative efficiency across multiple projects. The Project Information Administrator will work alongside Project Information Managers to ensure smooth information flow and project documentation integrity.
What You Will Do
- Assist in organizing and maintaining project documentation, including contracts and technical submissions
- Support the compilation of CV packages for project teams and bid submissions
- Help implement and maintain document control systems
- Provide administrative support for projects including scheduling meetings and distributing minutes
- Maintain digital and physical filing systems according to established protocols
- Process incoming and outgoing project correspondence
- Assist in preparing presentations and reports for team meetings
- Learn and utilize document control platforms under supervision
- Track project records, timesheets, and expenses
- Support the preparation of project deliverables
Your Qualifications
- 1-3 years of experience in administrative roles, preferably in architecture, construction, or related fields
- Familiarity with document management systems such as Aconex, or similar platforms
- Strong computer skills with proficiency in Microsoft Office, especially Excel and PowerPoint
- Excellent organizational skills and attention to detail
- Good written and verbal communication abilities
- Ability to work effectively in a fast-paced environment and manage multiple priorities
- Self-motivated with a willingness to learn new systems and processes
- Basic understanding of project lifecycle documentation
