Role SummaryThe Project Documentation Specialist is responsible for managing customer and project documentation requirements from clarification through execution. This role works closely with internal departments, customers, and third-party suppliers to ensure accurate, timely, and compliant documentation delivery throughout the project lifecycle.
Key ResponsibilitiesSupport customers with documentation requirements throughout the project lifecycle
Create standard and project-specific documentation in coordination with relevant departments
Clarify documentation requirements and ensure proper execution with internal stakeholders
Support order processing through internal and external status reporting
Assist with customer expediting related to order and project progress
Prepare and maintain monthly progress reports and other project documentation
Independently manage customer portals in line with documentation requirements
Coordinate with IT for portal access, installation, and authorization requests
Support PMO in developing new procedures for project-related documentation requirements
Document procedures and process flows as needed
Procure documentation for third-party products and ensure completeness of records
Bachelor’s degree in Mechanical Engineering or a related field
Around 1+ year of relevant experience in documentation, project support, quality control, planning, procurement, supply chain, or order entry
Strong technical understanding and willingness to learn internal and customer-specific documentation systems
Good knowledge of MS Office
Experience with SAP, PMP, Windchill, Oracle, and OEPDMS 2.0 is an advantage
Strong communication and organizational skills
Ability to work independently and in a structured manner
