Do you thrive on keeping projects on track and ensuring every detail is handled? We're looking for a dedicated Project Coordinator to provide essential support to our Project Manager. In this role, you will be the backbone of our projects, handling the logistics, administration, and customer engagement that ensure seamless delivery.
As a Project Coordinator, you will be a key player in our team, responsible for ensuring projects and contracts run smoothly from start to finish. Your main duties will include:
- You'll manage the day-to-day details of project orders, including entry into our F&O system, receiving deliveries, and confirming accuracy. You'll also coordinate transportation and delivery schedules for equipment and services.
- You will assist the Project Manager with administrative duties and maintain accurate records, including collecting and verifying Proof of Delivery (POD) documents.
- You will be a direct point of contact for our customers, providing updates on order status and addressing any inquiries to ensure a great customer experience.
- You'll manage weekly backlog reports to help meet financial targets and ensure all equipment is correctly tagged with Item Unique Identification (IUID) tags to meet compliance requirements.

- You're a pro at using systems like Microsoft Dynamics 365 or similar ERP/CRM systems to handle order entry, manage contracts, validate backlogs, and create reports.
- Advanced Microsoft Office Skills: You can use Excel to build Gantt charts and analyze data, and you're comfortable with Microsoft Project for tracking deliverables. You're also an expert with Outlook, Teams, Word, and PowerPoint for all your scheduling, communication, and documentation needs.
- You're highly skilled at managing critical documents and data, including purchase orders, proof of delivery, and contracts. You maintain a high level of accuracy in all records and reporting.
- You have a keen eye for detail and are able to identify system inefficiencies. You're passionate about streamlining processes and optimizing workflows to boost productivity.
