JOB DESCRIPTION 

DG360, a service offering supported by Barry-Wehmiller Design Group, provides operational support, service coordination, preventative maintenance, emergency response, and project execution support for clients with complex, mission-critical facilities and operational environments. Our team works closely with project managers, technical specialists, field service professionals, subcontractors, and client stakeholders to support efficient project execution, strong communication, and reliable service delivery.

DG360 is seeking exceptional candidates who thrive in fast-paced work environments and are capable of supporting active service and project operations through strong organization, communication, follow-through, and problem-solving skills. This role will support project coordination, service operations, scheduling activities, documentation management, meeting coordination, reporting, and cross-functional communication across active client projects and operational programs. 

When you join DG360 as a Project Coordinator, you are joining a team that will challenge you and position you for growth. In this role, you will work with seasoned leaders, project managers, technical specialists, subject matter experts, field service teams, and senior leadership to provide timely and accurate information associated with active projects and ongoing service operations. 

KEY RESPONSIBILITIES 

  • Coordinate updates from key contributors on projects to ensure transparency with leadership regarding risk, schedule, and financial position. 
  • Support operational leadership by collecting, organizing, and summarizing project and operational updates for review by the senior leadership team. 
  • Support Project Managers with coordination of active operational and service-related projects across multiple client accounts. 
  • Maintain project tracking systems, schedules, operational documentation, and status records to ensure visibility across active initiatives. 
  • Coordinate communication between project management, engineering teams, field personnel, subcontractors, and client stakeholders. 
  • Assist with tracking project milestones, action items, operational risks, and scheduling conflicts. 
  • Attend operational and project-related meetings to capture notes, document action items, identify responsible parties, and distribute meeting minutes and summary recaps to stakeholders. 
  • Assist with coordinating project and site readiness activities including documentation collection, scheduling support, access coordination, and required pre-work information. 
  • Support process improvement initiatives by helping develop and maintain standardized operational workflows, tracking procedures, and administrative processes. 
  • Maintain organized network storage folders, project documentation repositories, and shared project resources. 
  • Review reports, trackers, and project documentation to support accuracy, consistency, and error proofing. 
  • Identify client or internal inquiries and ensure successful transfer of ownership to the appropriate project, technical, or operational resource. 
  • Track and facilitate requests between project managers, engineering teams, technical specialists, field personnel, and operational stakeholders to ensure required information is provided in a timely and complete manner. 
  • Act as the first-pass resource to help identify and resolve administrative or accounting-related issues such as past due invoices, invoice discrepancies, purchase requests, labor tracking discrepancies, and documentation inconsistencies. 
  • Drive project success by collaborating with project management, engineering, procurement, accounting, field teams, and leadership to ensure timely completion of critical tasks. 
  • Support data entry, recordkeeping, and database updates for information collected from the field or generated through project execution. 
  • Escalate risks, blockers, or unresolved issues to leadership when additional support or direction is needed. 
  • Provide general operational and administrative support to project managers, service teams, field personnel, and leadership. 
  • Support ad-hoc projects or responsibilities depending on organizational needs. 

QUALIFICATIONS

  • Proficient with common business applications and comfortable learning new software platforms. 

PREFERRED QUALIFICATIONS 

  • Experience supporting project coordination, operations, logistics, field service, production, service coordination, or similar fast-paced environments preferred. 
  • Experience maintaining schedules, tracking deliverables, and coordinating cross-functional teams preferred. 
  • Experience with SharePoint, Smartsheet, Power Automate, or similar project/workflow management tools preferred. 
  • Exposure to project management, operational support, or service coordination environments preferred. 

  

EDUCATION AND EXPERIENCE 

  • BS or BA degree in Business, Operations, Project Management, Supply Chain, or similar field a plus. 
  • 3+ years professional experience in project management, operations coordination, production management, logistics, service coordination, or related fast-paced environments. 

TRAVEL 

  • 0% to 10% — Regional travel for team collaboration, customer support activities, training, or operational initiatives as needed.
