Job Description
Position Summary
The Project Coordinator is responsible for supporting the successful execution of industrial and commercial projects by coordinating quotations, procurement, logistics, scheduling, material management, customer communication, and project documentation. This role serves as a key link between customers, vendors, field operations, and project management to ensure projects are completed safely, efficiently, and in accordance with customer requirements.
The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Project Coordination
- Assist Project Managers with planning, organizing, and executing projects from award through completion.
- Develop and maintain project schedules, action lists, and tracking reports.
- Coordinate project activities among customers, contractors, vendors, and internal teams.
- Monitor project progress and communicate updates to stakeholders.
- Support project closeout activities, including documentation and final billing.
Procurement & Material Management
- Generate and maintain project-specific bills of materials.
- Source materials and equipment from approved vendors.
- Issue purchase orders and track procurement activities.
- Coordinate deliveries to meet project schedules and customer requirements.
- Verify material availability and assist in resolving shortages or supply issues.
Customer Service & Communication
- Serve as a primary point of contact for routine customer inquiries.
- Maintain regular communication with customers regarding project status, schedules, and deliveries.
- Collaborate with suppliers and internal departments to resolve issues quickly and professionally.
- Build and maintain positive customer relationships.
Logistics & Documentation
- Prepare shipping documentation, packing lists, and related project records.
- Coordinate domestic and international shipments as required.
- Maintain accurate project files, reports, and electronic records.
- Ensure project documentation meets customer and company requirements.
Quality & Continuous Improvement
- Ensure compliance with customer specifications and project requirements.
- Assist with quality assurance processes and documentation.
- Identify process improvements that enhance efficiency, accuracy, and customer satisfaction.
- Support company safety initiatives and quality standards.
Qualifications
Education & Experience
- Associate's degree in Business, Construction Management, Project Management, Supply Chain, or related field preferred.
- Equivalent work experience may be considered in lieu of formal education.
- 2+ years of project coordination, construction administration, logistics, procurement, or related experience preferred.
- Experience in industrial construction, mechanical insulation, specialty contracting, manufacturing, or distribution is a plus.
Knowledge, Skills & Abilities
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple projects and priorities simultaneously.
- Strong problem-solving and customer service skills.
- Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Experience with ERP systems and project tracking software preferred.
- Ability to work independently and collaboratively within a team environment.
- High attention to detail and commitment to accuracy.
Physical Requirements
- Primarily office-based work with occasional visits to warehouses, fabrication facilities, or project sites.
- Ability to lift up to 30 pounds occasionally.
- Ability to stand, walk, bend, and climb stairs as needed.
Travel Requirements
- Occasional travel may be required (up to 5%).

Compensation Range
$35,600.00 - $71,200.00To comply with Pay Transparency laws, employers must disclose an annual salary range. Actual offers depend on factors such as location, experience, skills, and market data. This position may also offer variable compensation.
