Role Overview
The Project or Portfolio Coordinator plays a key role in supporting successful planning, execution, monitoring, and close out under the direction of a Project Manager or Program Manager during a healthcare IT and/or transformation projects. The ideal candidate is detail-oriented, highly organized, and is focused on communication and collaboration as an essential part of their role. This role requires a self-starter who completes work within the established timeframes; takes specific action to ensure complete and accurate work with high quality, and an ability to evaluate workload and adjust schedules and priorities as required.
Key Responsibilities
- Project Support: Provides day-to-day coordination and administrative support to PMO Project Managers to help ensure deliverables are tracked, documented, and communicated throughout the project lifecycle (initiation “discovery” - closing)
- Project/Program Reporting: Support the creation and maintenance of project or portfolio dashboards, RAID logs, executive reporting, and status reporting tools to ensure up-to-date portfolio visibility and accountability.
- Project Coordination: Maintain project documentation (e.g., project plans, meeting notes, risk logs, status reports), schedule meetings, and support day-to-day coordination needs across one or more projects or programs.
- Team & Stakeholder Communication: Support communication between project teams, leadership, and external partners by documenting updates, tracking action items, and escalating risks to the Project Manager as needed.
- Process Support: Assist in the standardization and continuous improvement of project management tools, templates, and methodologies across the PMO.
- Logistics & Planning: Organize project team logistics including scheduling, file management, and task tracking. Support resource management planning efforts as needed.
- Tool Proficiency: Utilize PMO tools such as Smartsheet, MS Project, Excel, and PowerPoint to track progress, assist in status reporting, and support portfolio-wide alignment.
Requirements
- Education: Associate degree required (or equivalent education/experience)
- Experience: 1 - 3 years of experience in supporting projects or administrative support in a professional setting—preferably within healthcare or IT environments.
- Organizational Skills: Exceptional attention to detail and ability to manage own work while tracking others tasks, dependencies, and follow-ups across multiple team members.
- Communication: Excellent communication skills, both written and verbal, including: experiences working with organizational leaders, capturing meeting minutes, drafting project status summaries, and follow up with individuals on action items in a professional and organized manner.
- Technology Skills: Proficiency in Microsoft Office Suite, Smartsheet, SharePoint, project management software tools, and other collaboration tools.
- Team-Oriented: Works effectively in cross-functional teams and adapts quickly in dynamic environments. Establish and maintain effective working relationships with a variety of individuals from various socioeconomic, ethnic and cultural backgrounds.
- Client-Facing Professionalism: Ability to interact confidently with internal and client stakeholders in meetings, presentations, and day-to-day communications.
