The Project Coordinator supports the Project Management Office (PMO) by coordinating project intake activities, facilitating communication among internal teams and clients, and ensuring the timely completion of key administrative and project support tasks. This role partners with IT and business teams to gather estimates, schedules, and resource information; obtain client approvals; and maintain documentation that supports effective project planning and execution. This position is well suited for individuals beginning a career in project management who are eager to contribute to operational efficiency and client satisfaction.
This role is hybrid, meaning you will be assigned to one of our Broadridge offices and given the flexibility to work remotely 2-3 days per week.
Job Responsibilities
Serve as the initial point of contact for PMO project intake requests, ensuring all required information is collected, reviewed, and documented.
Collaborate with IT partners and other internal teams to gather project estimates, schedules, and resource requirements.
Coordinate with clients and stakeholders to obtain approvals and confirm project details prior to project launch.
Provide administrative and coordination support to Project Managers, including tracking action items, maintaining project documentation, and assisting with status updates.
Communicate regular updates on project intake status and follow up with relevant parties to ensure timely progress.
Maintain accurate project records, documentation, and intake materials in designated systems and tools.
Identify opportunities to improve project intake, communication, and coordination processes within the PMO.
Perform other duties and responsibilities as assigned
1–2 years of administrative, coordination, or related experience, preferably in a project, PMO, IT, or business operations environment.
Exposure to project management principles, methodologies, or tools such as Microsoft Project, Smartsheet, Jira, or similar platforms.
Associate’s or bachelor’s degree in business, information technology, project management, or a related field preferred, or equivalent relevant experience.
Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously.
High attention to detail and accuracy in documentation, tracking, and reporting.
Excellent written and verbal communication skills.
Ability to collaborate effectively across departments and with internal and external stakeholders.
Proficiency in Microsoft Office Suite, especially Excel, Word, Outlook, and PowerPoint.
Familiarity with project tracking or work management tools.
Demonstrated ability to learn quickly and adapt in a fast-paced environment.
Strong interpersonal skills and a customer service-oriented mindset
Salary range $60,000.00- $70,000.00. Bonus Eligible.
