Job Description:
Parsons is looking for an amazingly talented Project Coordinator to join our team! In this role, you will coordinate onboarding and workforce-readiness activities for new employees joining the Parsons T5 Program, with an emphasis on field personnel who will begin highly mobile, travel-based assignments following onboarding.
You will serve as a key coordination point between the hiring team, new employees, Program Management, Field Management, Human Resources, security and suitability teams, travel support, and other internal organizations to ensure each new hire is prepared for a successful start. This position will require regular in-person support of onboarding activities in the Kansas City area; candidates should therefore reside within a reasonable driving distance of Kansas City.
T5 Program Summary: The Federal Aviation Administration (FAA) awarded the Technical Support Services Contract 5 (T5) to Parsons in April 2023. Parsons is the prime contractor. This $1.8+ billion contract has a 4-year base period with two 3-year options. The statement of work includes a variety of activities that support the FAA’s Capital Investment Plan, certain reimbursable programs, FAA modernization initiatives, national security programs, and aviation safety. Work includes site selection and engineering, construction, environmental and fire/life safety, equipment installation and testing, drafting, contract surveillance, and other technical services as required. Work is performed across the nation in each of the FAA’s nine regions, as well as at the Aeronautical Center in Oklahoma City, Oklahoma, the Technical Center in Atlantic City, New Jersey, and several U.S. territories.
What You’ll Be Doing:
- Coordinate the transition of newly hired employees from the hiring process through onboarding, orientation, workforce readiness, and deployment to their initial field assignments.
- Serve as a primary point of contact for new employees before their start, ensuring they understand onboarding schedules, travel expectations, required documentation, training, and other readiness requirements.
- Coordinate onboarding cohorts and sessions in the Kansas City area, including schedules, participant rosters, meeting space, program presentations, materials, and other logistical requirements.
- Work with internal teams to coordinate employee travel requirements, including flights, hotels, rental vehicles, and other arrangements necessary for onboarding and transition to field assignments.
- Coordinate with Program Management and Field Management to ensure new employees receive appropriate program introductions, job expectations, policies, procedures, safety information, travel requirements, and field-work guidance.
- Maintain accurate onboarding trackers, employee status reports, schedules, action-item logs, and workforce-readiness information.
- Identify missing information, schedule conflicts, delayed actions, or other potential onboarding issues and work across organizations to resolve them before they affect employee start dates or field deployment.
- Coordinate handoffs between Talent Acquisition, onboarding teams, field leadership, and project teams to ensure employees are properly assigned and prepared for their initial work locations.
- Prepare recurring and ad hoc reports, dashboards, presentations, and status updates for Program Management and business leadership.
- Support continuous improvement of onboarding processes, templates, communications, checklists, and coordination practices as hiring volume and program needs evolve.
- Plan and coordinate multiple onboarding activities simultaneously while maintaining a professional and responsive experience for new employees.
- Take ownership of assigned coordination challenges and special projects, engage the appropriate stakeholders, and drive actions through completion.
- Provide broader project-coordination and program-office support for workforce initiatives and other emerging program priorities as assigned.
What Required Skills You’ll Bring:
- Bachelor’s degree in business, project management, human resources, communications, organizational management, or a related field, or equivalent relevant experience.
- 3+ years of related experience in project coordination, program support, workforce operations, onboarding, staffing, business operations, logistics coordination, or a similar role.
- Strong organizational skills with the ability to manage multiple employees, activities, schedules, deadlines, and priorities simultaneously.
- Excellent attention to detail and demonstrated ability to maintain accurate records and status information.
- Strong written and verbal communication skills and the ability to communicate professionally with new employees, managers, executives, and functional organizations.
- Proficiency with Microsoft Excel, including spreadsheets, formulas, filters, tables, charts, and data organization.
- Proficiency with Microsoft Outlook, PowerPoint, Word, Teams, and other standard business applications.
- Demonstrated ability to identify coordination problems, determine appropriate follow-up actions, and drive issues to resolution.
- Ability to work independently, exercise sound judgment, and appropriately elevate significant risks or concerns.
- Ability to handle employee, candidate, customer, and business information with professionalism, discretion, and confidentiality.
- Ability to support in-person onboarding activities in the Kansas City area and reside within a reasonable driving distance of Kansas City.
- Must be able to meet customer security requirements. A background check by federal authorities may be performed.
What Desired Skills You’ll Bring:
