Title of Job: Project Coordinator
Status: Non-exempt
Reports To: Operations Manager
Location: Onsite M-F, Mansfield, TX
Summary of Position:
The Project Coordinator reports to the Operations Manager and provides administrative and coordination support to approximately 2-4 Project Managers and the General Manager to ensure projects are completed accurately, efficiently, and on schedule. The Project Coordinator should be highly organized, capable of managing multiple priorities, able to meet deadlines under pressure, and possess a strong work ethic.
Job Responsibilities/Essential Functions:
- Enter new projects into the Project Management System.
- Communicate project schedules, requirements, and updates to field teams.
- Receive, track, organize, and maintain project paperwork across company systems.
- Coordinate subcontractors by scheduling work, requesting required documentation, and ensuring all subcontractor requirements are completed and properly filed.
- Order and coordinate delivery of project materials.
- Communicate with field teams regarding daily and weekly project paperwork.
- Review, analyze, and follow up on daily project reports.
- Assist Project Managers with proactively identifying upcoming risks, project timeline delays, contractor issues, field team issues, and financial concerns.
- Assist with obtaining and maintaining all required project documentation.
- Assist with obtaining project permits and coordinating required documentation.
- Meet with managers weekly to review project status, identify outstanding items, and help keep projects moving forward.
- Assist with the overall coordination and ownership of assigned projects.
- Generate project reports and dashboards.
- Participate in project conference calls and meetings.
- Answer project-related questions from technicians, subcontractors, and clients.
- Provide professional and responsive customer service.
- Perform other duties as assigned.

- Construction knowledge preferred, but willing to train the right candidate.
- Experience with Microsoft Office Suite.
- Experience with Smartsheet preferred but not required.
- Working knowledge of Google Docs and related applications.

- Self-starter who takes initiative and follows through on assignments.
- Smart, analytical, resourceful, and able to deliver results in a timely manner.
- Ability to work effectively with individuals at all levels of the organization.
- Strong written, verbal, and interpersonal communication skills.
- Extremely organized with strong attention to detail.
- Ability to work independently and as part of a team.
- Ability to manage multiple projects and priorities while meeting deadlines.
Minimum Qualifications:
- 18 years of age or older.
- Must be able to pass a drug test.
- Must be able to pass a background check.
