The Project Assistant supports the Electric Programs group by coordinating high‑volume email communications, maintaining and updating SharePoint tracking resources, and ensuring timely, accurate data entry, verification, and follow‑up. This role is ideal for someone with strong attention to detail, excellent written communication, and hands‑on experience with Microsoft 365.
Here's what you’ll do:
- Inbox coordination: triage and route a high volume of incoming emails; apply rules/categories; draft/schedule replies; escalate items to program leaders; track follow‑ups until closure.
- SharePoint maintenance: create/update lists and libraries; edit columns and views; manage metadata; keep trackers current; support basic permission management and page updates.
- Data quality: perform routine data entry and verification across trackers/dashboards; reconcile discrepancies; maintain audit trails and change logs.
- Tracking & reporting: update status boards; compile daily/weekly summaries; surface risks, blockers, or aging items to stakeholders.
- Documentation: maintain SOPs, FAQs, and quick‑reference guides; improve templates used in email and SharePoint.
- Cross‑team support: coordinate with engineering/design, PMO, and client‑facing teams to ensure timely information flow and task follow‑through.
Required Qualifications
- Demonstrated experience managing high‑volume email workflows (Outlook): inbox rules, categories/flags, templates, follow‑up tracking.
- High attention to detail with proven data entry and data verification skills.
- Strong written communication; concise, professional drafting and summarization.
- Comfortable working independently in short, focused windows; reliably meets response SLAs.
- Proficiency with Microsoft 365 (Outlook, SharePoint, Excel, Teams).
Preferred Qualifications
- Experience in electric utility programs/projects or engineering/design environments.
- SharePoint site/page editing; familiarity with permissions and content organization.
- Excel skills (lookups, filters, conditional formatting) for data checks.
- Familiarity with status dashboards and escalation workflows.
