We are seeking a detail-oriented and experienced Project Administrator to expedite and guide projects while working to develop efficient processes and procedures. The Project Administrator will be responsible for managing multiple product development projects, maintaining detailed project documentation, and overseeing the transition from design to production. This challenging role requires quick thinking, intelligence, existing knowledge, strong documentation skills, the ability to manage daily project progress, and the capability to document and address customer-reported issues, effectively.
BASIC JOB RESPONSIBILITIES:

  • Project Coordination: Coordinate multiple product development projects, assuring alignment with Director’s goals and timelines, and ensuring projects complete by scheduled deadlines and within budget.
  • Contract Manufacturer Document Coordination: Maintain clear communication with our contract manufacturers in Taiwan. Fluent Mandarin is necessary to schedule and attend regular meetings, coordinate emails, and reports to manage and align production schedules, quality standards, and any potential issues that may arise. Build trust and communicate expectations.
  • Project Scheduling: Update and maintain project schedules, track progress, and proactively address potential delays or issues using Gantt chart software, like Microsoft Project or similar.
  • Design Documentation: Compile, manage, and maintain comprehensive design documents, ensuring accuracy, completeness, and compliance with regulatory standards.
  • Internal Design Reviews: Schedule and facilitate internal design review meetings taking direction from engineering teams to who will evaluate and refine project designs.
  • Development Procedures: Implement and ensure the following of internal development procedures for consistent quality and adherence to best practices.
  • Project Transition: Coordinate the transition of projects from design to production, ensuring a smooth handover of a complete package, and resolving any issues that arise.
  • V&V Collaboration: Work with the test engineering team during the Verification and Validation (V&V) phase, collecting and distributing test report results, and coordinating with engineering teams to address and resolve any identified issues, rapidly.
  • Documentation and Reporting:
    • Daily Progress: Document and manage the daily progress of ongoing projects, providing regular updates to stakeholders, including steps to completion.
    • Issue Management: Document and track any issues reported by customers, including detailed descriptions and rapid resolutions. Update documentation as issues are resolved and ensure that all changes are accurately reflected.
    • Communication: Ensure clear and effective communication regarding project status, issues, and resolutions with cross-functional teams and stakeholders.

EDUCATION, EXPERIENCE, & KNOWLEDGE:

  • Ability to speak Mandarin, fluently.
  • Bachelor’s Degree in Business Administration.
  • Bachelor’s degree in Electrical Engineering (EE), Computer Science (CS), Mechanical Engineering, or a related field is preferred.
  • Minimum of 3 years of experience in project management.
    • Established and proficient experience in project management tools such as Jira or other PLM (Product Lifecycle Management) systems, and Gantt Chart software like Microsoft Project.
    • Experience in managing and documenting project progress, customer-reported issues, and their resolutions.
    • Proven experience in scheduling and facilitating design reviews and implementing development procedures.
  • Project Management Certification is a plus.

SALARY RANGE:

  • $31 - $43 per hour ($64,000 to $89,000, annualized)

Pay and exempt status may vary depending on experience, qualifications, and other job-related factors.
