Role description:
Arcadis is seeking a Project Administrator to join our Mobility team in Southern California!
Join our team in supporting project administration work for multiple project managers and operations in the Southern California region. You will have regular interaction with the Project Manager(s) and Finance Manager regarding contracts and project specific financials and metrics.
This is an exciting opportunity for a self-motivated individual to join our team locally with support from one of the best-qualified consulting firms in the country. In this position you will work on project-specific work, such as supporting project definition and close out of complex freeway interchange projects, tracking progress of various projects, preparing reports regarding contracts for management use, monitoring project budgets and preparing and distributing routine correspondence related to the projects, for project teams simultaneously.
Role accountabilities:
In this role, you will support Project Managers to ensure control and communication of project budget, scope, schedule, progress, and risks. Occasional travel will be required to the office and site visits.
Responsibilities include:
- Participating in project activities and reviewing essential project documentation to ensure an effective project management process (including, but not limited to risk management, schedule, and cost management, change management, billing, cash flow, and issue resolution) consistent with approved project plans.
- Working closely with project managers to ensure client invoices are prepared monthly and sent each month. Verify invoices comply with contract terms.
- Coordinate with subcontractors on billing requirements.
- Provide and analyze financial project metric reports for project managers. (Project Revenue, profitability, accounts receivable etc.)
- Prepare sophisticated reports and spreadsheets, conducting a high level of quality control and accuracy.
- Set up new projects and update project forecasts in the project management tools.
- Participate in monthly project reviews with Finance Managers and Project Managers.
Essential Education and Experience:
- 5 years of relevant work experience functioning in project administration, project operations, project controls or project management capacity
- Demonstrated experience managing or supporting utility, infrastructure, engineering, construction, or capital projects in regulated industries
- General project management experience
- Collaborate across a matrixed team
- Participate in site visits and inspections as needed
- Impeccable communication skills
- Experience with Falcon DMS (Preferred)
- Bachelor’s degree in Construction Management or Engineering (Preferred)

Arcadis offers benefits for full-time and part-time positions. We offer nine paid holidays and 15 days PTO that accrue per year. The hourly range for this position is $75,000 - $82,750/year.
