Job SummaryThis is an in-office 3 days a week role.The Project & Administrative Coordinator III serves as a key partner to the Account Management team by providing a blend of administrative, operational, and project coordination support. This role is responsible for ensuring the efficient execution of team activities, client-facing events, open enrollment initiatives, and operational processes through effective planning, organization, and follow-through. The position coordinates travel, expense management, meeting logistics, calendar management, and cross-functional activities while supporting multiple projects and deadlines in a fast-paced environment. The ideal candidate is highly organized, detail-oriented, and capable of balancing administrative responsibilities with project coordination duties to support client service excellence and business objectives.
Responsibilities
• Coordinate and manage travel arrangements for Account Management team members, including airfare, hotel accommodations, rental cars, and meeting logistics.
• Prepare, submit, and track expense reports in accordance with company policies and timelines.
• Support the planning, coordination, and execution of Open Enrollment events, client meetings, and benefit education sessions.
• Maintain and manage calendars, meeting schedules, and event coordination for account management leadership and team members.
• Assist with organizing client presentations, materials, meeting agendas, and follow-up action items.
• Coordinate vendor, client, and internal meeting logistics, including conference room bookings and virtual meeting setup.
• Track key enrollment, client, and project deadlines to ensure timely completion of deliverables.
• Maintain accurate records, documentation, and filing systems related to client accounts and account management activities.
• Support the creation, distribution, and tracking of client communications and enrollment materials.
• Monitor and assist with procurement of event supplies, promotional items, and meeting materials for client-facing activities.
• Collaborate with internal business partners to support client service initiatives and operational processes.
• Provide administrative support for account management projects, special initiatives, and reporting needs.
• Assist with coordinating training sessions, team meetings, and department events.
