Project Administration Officer

Role Title: Project Administration Officer

Scope and Project Background:

The Strategic Shipbuilding Agreements Branch within Defence is responsible for managing the overarching contractual and commercial frameworks that underpin major naval shipbuilding programs, ensuring delivery aligns with agreed cost, schedule, performance, and Commonwealth expectations. It acts as the central interface between Defence and industry partners, maintaining governance, compliance, and consistency across complex, multi-stakeholder programs. Within this environment, the Project Administrator plays a critical enabling role, supporting the integrity and efficiency of these agreements through meticulous management of Contract Data Requirements Lists (CDRLs), correspondence, and document workflows. As a central coordination point across Defence, shipbuilders, OEMs, and vendors, the role ensures that technical queries, deliverables, and contractual communications are accurately tracked, processed, and actioned in a high-tempo, deadline-driven setting, directly contributing to transparency, compliance, and the effective execution of strategic shipbuilding agreements.

The key responsibilities of the role include, but not limited to:

- Manage and maintain Contract Data Requirements Lists (CDRLs), ensuring accuracy, currency, and timely processing of deliverables

- Administer and track CDRL registers and correspondence registers across multiple projects

- Coordinate and manage technical queries, ensuring appropriate routing, tracking, and resolution

- Oversee high-volume correspondence workflows, including management of multiple shared inboxes as a central communication point

- Facilitate stakeholder engagement across Defence, OEMs, contractors, and vendors

- Manage document control processes within Objective, ensuring high-quality, compliant record keeping

- Distribute executed documents and manage dissemination via secure links and approved systems

- Provide program and administrative support to project teams, ensuring adherence to deadlines and contractual requirements

- Monitor deliverables and activities against timelines in a high-tempo, deadline-driven environment

Essential Requirements:

- Demonstrated experience in project administration, contract support, or program coordination within Defence or a complex delivery environment

- Proven experience managing Contract Data Requirements Lists (CDRLs), registers, or structured documentation systems

- Strong experience in correspondence management, including high-volume inbox and communication tracking

- Proficiency using Objective or similar electronic document and records management systems (EDRMS), including workflow management

- High attention to detail, with the ability to maintain accuracy across large volumes of data and documentation

- Strong organisational and time management skills, with the ability to manage competing priorities in a high-tempo, deadline-driven environment

- Experience coordinating technical queries and ensuring tracking through to resolution

- Strong stakeholder engagement and communication skills, with the ability to work across Defence, OEMs, contractors, and vendors

- Ability to manage multiple registers and workflows simultaneously, ensuring compliance, traceability, and audit readiness

Required Security Clearance Level: NV1

Location: Perth
