Position Summary:
The Program Associate position provides a variety of routine clerical functions within a behavioral health outpatient office setting. Works in a fast-paced environment that requires multitasking, excellent customer service, and interpersonal skills to greet clients and visitors promptly and courteously.
Work Schedule Requirements:
Work hours will vary to include some evenings and Saturday hours; Hours of operations will vary by location. This position will be responsible for providing coverage at other Outpatient clinics as needed.
Job Responsibilities and Performance Standards:
- Performs duties in a fast-paced environment that requires multitasking, excellent customer service, interpersonal skills to greet clients and visitors promptly and courteously.
- Provides on site or remote coverage for other sites not designated as primary site as directed by supervisor.
- Assist clients with scheduling appointments.
- Check out clients who are in the office or have telehealth visits scheduled.
- Manages front-desk dashboard.
- Verify insurance and collect copays before visits, including scheduled telehealth appointments.
- Performs data entry, scanning, and downloading information into MyAvatar EHR.
- Responds timely to client questions and concerns.
- Attends agency meetings and completes required training.
- Monitors and responds to all emails and faxes.
- Completes intake point of entry/admissions.
- Handles medications at Outpatient Clinics delivered by courier from pharmacy; Pavilion has a pharmacy onsite for clients to pick up medications.
- Scan all completed assessments to clinicians.
- Completes Pre-service audits as directed by supervisor.
- Completes documentation of client contact in Front Desk General Telephone note.
- Completes all deposit paperwork and submits it to direct supervisor to provide second signature.
- Complies with policy and procedures related to leave and time keeping.
- Performs other duties as assigned.
Minimum Qualifications:
High school diploma or GED AND 1 year of general office or administrative experience.
Preferred Qualifications:
- Medical assist experience/background preferred
- Minimum 1 year experience working in a medical/behavioral health setting.
- Outgoing, engaging, and personable communication skills.
- Experience working in a medical or behavioral health office.
- Excellent computer skills including familiarity with Microsoft Word and Excel.
- Highly organized and detail oriented.
Skills Required
