This position is Hybrid Remote Work. The duties of this position are performed remotely as well as at our central office in Salem. The ability to report to Salem is required when business or operational needs are dependent on onsite activities.

What we are looking for:

The Oregon Department of Forestry’s Federal Grant Support Unit is seeking a detail‑oriented, collaborative professional to support statewide grant administration and wildfire‑related cost recovery programs. This position plays a vital role in supporting ODF’s work with federal partners, local fire agencies, and internal programs that help strengthen wildfire resilience across Oregon. In this role, you will:

  • Manage data collection and document‑retention for federal grants administered by the Federal Grant Support Unit.
  • Oversee documentation for contracts, agreements, and project‑specific materials.
  • Create clear, accurate communications for internal staff and external partners relating to grant requirements, timelines, reporting, and program updates.
  • Coordinate the Volunteer Fire Capacity (VFC) grant program, supporting local fire departments in securing federal assistance.
  • Co‑lead administration of FEMA’s Fire Management Assistance Grant (FMAG) program, helping ensure timely and accurate large‑fire cost recovery for the agency and subrecipient partners.
  • Collaborate closely with unit leadership, other ODF programs, and federal partners to ensure compliance, efficiency, and consistent processes.

Minimum Qualifications:

A Bachelor's Degree in Business or Public Administration, Behavioral or Social Sciences, or a degree related to the agency program that demonstrates the capacity for the knowledge and skills

OR
Any combination of experience or education equivalent to three years technical-level experience that typically supports the knowledge and skill requirements listed for the classification.

Note: Driver’s License Check - This position requires the operation of a state vehicle for the purpose of conducting official State business. If your license is from outside Oregon, you must submit at least a three-year court/DMV printout.  If you have an Oregon driver’s license, a record check will be conducted on the top candidate to ensure a valid license and acceptable driving record.

  • Ability to interpret, manage, and track federal or state grants, including reporting requirements and compliance standards.
  • Excellent written and verbal communication skills, capable of preparing professional briefings, summaries, and partner communications.
  • Experience coordinating programs, projects, or grant processes with multiple stakeholders.
  • Ability to analyze information, identify gaps or issues, and recommend process improvements.
  • Knowledge of wildfire programs, emergency management, or natural‑resource agencies (preferred but not required).
  • Comfort working independently while also contributing to a collaborative team environment.
  • Proficiency with standard office software and data‑management tools (e.g., MS Office, SharePoint, Teams).
  • Detail orientation with strong follow‑through and the ability to meet deadlines.

Salary determination: 

Per the Pay Equity Law passed in 2017, a pay equity analysis for starting salary will be conducted to determine what pay step the successful candidate will be offered.
