About the Role

In this role you will efficiently and effectively acquire goods and services for the company. This involves sourcing suppliers, negotiating contracts, managing vendor relationships, and ensuring compliance with company policies and regulations, all while optimising costs and maintaining quality.

You’ll work across a range of areas, consulting with business leaders across all verticals and taking proactive approach to all contract matters. You will build relationships inside the company, as well as outside with a variety of vendors. This role is perfect for someone who thrives on variety, takes initiative, and wants to play an operational role by managing the procurement process from start to finish.

This is a hybrid India-based role, and we are seeking candidates based within a commutable distance of our main office in Mumbai or Hyderabad.  

What You'll Do

  • Manage day-to-day procurement activities, ensuring adherence to official procurement processes and practices, as well as making good use of procurement tools and templates.

  • Responsible for vendor management and contract negotiation and supports decision-making at the team level providing data driven financial, capacity, and resource planning insights.

  • Source proposals for contract renewals and extensions; ensuring vendor price comparison and best value for money services.

  • Maintain up to date vendor database and documents repository Dropbox; and chases missing contracting information.

  • Prepare and perform purchase orders auditing; and awards winning contract suppliers.

  • Chase information on missing spend and work with finance team on spend reconciliations.

  • Maintain accurate records of service contracts, hardware orders, budgetary information, and other procurement-related activities within Financial/Procurement Platforms.

  • Implement and advise all departments on official procurement process and lead the process for user departments and suppliers to properly onboard each vendor fostering synergy across departments.

  • Train category managers on procurement process and work closely with departments to onboard them and roll out improvements to procurement process, ensuring compliance to procurement policy.

  • Review low-value contracts to support cost reduction/avoidance and generate savings; work closely with category managers on contracts/tools/services consolidation projects.

  • Contribute to the establishment of common practices, tools, and templates for portfolio, ensuring adherence to company and legal standards.

  • Extract key terms from contract documents that define agreements’ core aspects, ensure efficient contract management and analysis.

  • Manage contracted licenses and service issues via relevant service admin portal to ensure smooth and continuous service delivery. Responsible for addressing issues with user access and similar, by working through under appropriate resolutions are in place.

  • Responsible for escalating risks and issues that threaten portfolio and project success; and support Global Procurement Manager with urgent/ad-hoc requests/tasks.

  • Responsible for regular reporting on high-level procurement activities, contracts’ deadlines, and engaging relevant teams in contracts reviews.

  • Create project pipeline, source suppliers and produce regular reporting information on high-level procurement activities, contracts' information, and planned priorities for next period.

  • Undertake relevant procurement trainings, as well as other trainings, as may be deemed appropriate and required.


What You’ll Need

  • 4+ years of experience in role or similar with a proven ability to drive impact.

  • University degree in Procurement, Supply Chain Management, Project Management, or relevant field.

  • Excellent communication and negotiation skills to interact with suppliers and internal stakeholders. Proactive approach and attention to details is key to this role.

  • Experience in Vendor Management, Contract Negotiations and Management, Process Implementation and Compliance, Cross-Functional Collaboration, Reporting and Analysis, and Cost Optimisation.

  • Full professional proficiency in English.

  • Experience in a fast-paced environment and demonstrated ability to own complex projects, work autonomously, and prioritise across multiple business needs.

  • Comfortable working with ambiguity and leading contracts negotiations independently.

  • Proven track record of influencing decisions and telling compelling data stories.

  • Experience in utilising metrics and data visualisation to report portfolio performance; good to have experience in Spendesk.

  • Ability to analyse data, identify trends, and solve problems related to procurement.
