Procurement Specialist

Advanced Systems Group is seeking a dedicated and highly organized Procurement Specialist to be the engine behind a fast-paced, creative studio, coordinating with stakeholders, producers, creatives, and project managers to get the products that bring studio and production operations to life into the right hands at the right time. This is a full-time, on-site role, 5 days a week in Midtown Manhattan near the Empire State Building. The studio operates like a small fulfillment room with a high volume of orders always in motion, so the ideal candidate is passionate about organization, has a systems-thinking mindset, and thrives on managing details and multiple priorities.

Essential Functions

• Process and manage a high volume of procurement requisitions for various products.

• Communicate directly with talent teams, talent managers, producers, and internal departments to assess and fulfill procurement needs.

• Track and provide regular status updates to project teams on ongoing procurements, including order arrivals and shipment tracking information.

• Track multiple incoming shipments to the NYC studio and to remote locations.

• Track purchase orders and catch discrepancies between what was ordered and what was received.

• Maintain accurate inventory records for all items in stock and storage at the NYC studio at all times.

• Facilitate the return and donation of products according to team standard operating procedures (SOP).

• Execute hands-on tasks such as unboxing, assembly, and testing of products on site.

• Assist the art department with product setups on the studio floor and demonstrate how products work.

Required Experience and Skills

• 1-2 years of experience in procurement, sourcing, purchasing, or supply chain management.

• Experience in a production environment, such as live events, broadcast, entertainment, television, film, or post-production.

• Experience with Coupa or a comparable procurement system.

• Proficiency in Microsoft Excel, including reading and exporting reports.

• Working knowledge of standard Microsoft Office tools.

• 1+ year of experience with Airtable or a comparable work management platform (Monday.com, Smartsheet, Asana, or Trello).

• Comfortable with the physical demands of the role, including unboxing, assembling, and testing products on site. This is not a desk-only role.

• High School Diploma.

Preferred Experience

• Retail experience.

• Experience with Airtable specifically.

• Experience handling shipments, including UPS WorldShip.

• Works independently with minimal supervision, including during high-volume periods, and knows how to find and follow SOPs and documentation before asking questions.

• Quick learner who picks up new systems and tools rapidly and thinks critically.

• Exceptional attention to detail.

• Strong verbal and written communication skills.

• Collaborates effectively across multi-disciplinary groups, including producers, brand success managers, and the art department.
