Responsibilities
Procurement Support
○ Assist in sourcing, evaluating, and selecting suppliers for equipment, materials, and services.
○ Prepare purchase orders and ensure timely processing and tracking.
○ Maintain supplier relationships and evaluate supplier performance.
○ Support negotiation of procurement terms and conditions.
○ Processes supplier’s invoices for payment, matching POs against invoices and Goods receipt notes.

Logistics Coordination
○ Coordinate inbound and outbound logistics, including shipping, customs clearance, and transportation.
○ Track shipments, manage delivery schedules, and resolve logistical issues.
○ Liaise with freight forwarders, shipping agents, and suppliers to ensure smooth logistics flow.
○ Optimize warehouse and inventory management practices.

Supply Chain Support
○ Collaborate with project teams to forecast procurement needs and ensure alignment with project timelines.
○ Maintain accurate records of procurement activities, shipments, and inventory.
○ Assist in risk management and contingency planning related to procurement and logistics.

Compliance & Documentation
○ Ensure compliance with relevant regulations, safety standards, and company policies.
○ Prepare and manage documentation for customs, import/export, and procurement audits.
○ Prepare periodic (weekly, monthly, quarterly etc.) management and ad hoc reports.

Requirements
Knowledge and Experience
  • Diploma in Procurement, Supply Chain, Logistics, or a related field is required; a Bachelor’s degree is preferred. 
  • 3-5 years of relevant experience in procurement and/or logistics coordination, ideally within a fast-paced or growth-oriented environment. 
  • Solid understanding of end-to-end procurement processes, including vendor selection, purchase order management, and invoice processing. 
  • Hands-on experience coordinating shipments, tracking deliveries, managing customs clearance, and working with freight forwarders. 
  • Comfortable using procurement or logistics software (e.g. SAP, Oracle, Odoo, or similar platforms). 
  • Strong organizational, negotiation, and communication skills; able to manage competing priorities and tight timelines. 
  • Proactive in identifying issues and implementing practical solutions. 
  • Familiarity with Tanzania’s import/export procedures and customs regulations is an advantage. 
  • Able to work cross-functionally with supply chain, finance, and operations teams.


Skills Required
