Job Overview:

The Procurement Data and Reporting Analyst supports the Procurement function by providing analytical, reporting and operational support across the organization. The role focuses on spend analysis, dashboard support, tender administration, supplier information management, contract data maintenance, process improvement and reporting to improve efficiency and value creation.

The position works closely with internal stakeholders across Finance, Property, Corporate, Facilities, Legal and Operations teams, supporting procurement initiatives, dashboard improvement, supplier data coordination and continuous improvement activities within the Procurement function.

Qualifications
• Bachelor's degree or equivalent qualification in Business, Data Analytics, Information Systems, Finance, Commerce, Economics, Supply Chain, Procurement or a related discipline
• 5+ years' experience in data analysis, reporting, procurement support, commercial administration,
tender coordination or contract administration roles, ideally within property, real estate, facilities or service-based organizations
• Advanced knowledge of Power BI and dashboard development

Experience & Capabilities
• Good understanding of procurement, supplier management, contract administration and finance processes
• Advanced Excel capability, including data analysis, pivot tables, structured tables, lookups and formulas
• Familiarity with Power Automate and Artificial Intelligence (AI) is highly desirable, including practical experience using automation or Copilot-style tools to improve efficiency, documentation and reporting
• Intermediate to advanced proficiency across Microsoft Office Suite and Microsoft 365, including Word, PowerPoint, Outlook, SharePoint and Teams
• Strong analytical, problem solving and attention to detail skills, with a focus on data accuracy and reliable reporting outputs
• Excellent written and verbal communication skills with the ability to engage internal stakeholders, suppliers and service providers professionally
• Experience in tendering activities, including RFx documentation, data collection, evaluation support and preparation of recommendation inputs


Specific Responsibilities

I. Procurement Analysis & Reporting
• Collect, clean and analyze procurement, supplier, contract and spend data to identify savings,efficiency and value creation opportunities
• Support assessment of procurement requirements and assist with maintaining information for future planning and demand visibility
• Develop, maintain and enhance procurement reports, dashboards and insights to support decision making, including Power BI reporting outputs
• Maintain reporting inputs and data registers supporting spend, supplier performance, savings, contract status and procurement activity visibility

II. Tendering & Supplier Management
• Support tendering processes, including preparation of RFIs, RFQs, templates, schedules and supplier response documentation
• Assist with evaluation of submissions and preparation of commercial analysis, pricing comparisons and recommendation inputs
• Maintain supplier performance information, supplier records and procurement documentation
• Assist with contract data maintenance and support compliance with agreed commercial terms through accurate record keeping

III. Cost Optimization & Risk Management
• Assist in identifying and escalating risks associated with procurement activities, supplier information, contracts and data quality
• Support benefits tracking, spend under management reporting and supplier performance reporting activities

IV. Systems, Process & Governance
• Support administration and continuous improvement of procurement systems, dashboards,
templates and tools
• Support development and maintenance of Power BI reporting outputs, Power Query data models
and Power Automate workflows
• Assist with streamlining procurement processes and supporting adherence to organizational
policies and standard ways of working
• Support implementation of best practice procurement, automation, AI-enabled productivity and
sustainability initiatives where appropriate
• Maintain appropriate documentation and audit trails for procurement activities, approvals, supplier
information and reporting outputs

V. Stakeholder Management
• Interacting with internal departments and teams, including Finance, Property, Corporate, Facilities, Legal and Operations, to support procurement activities and outcomes
• Assisting with procurement-related queries, information requests and reporting support across the organization
• Supporting supplier performance and risk management through data collection, issue tracking and continuous improvement support
• Communicating clearly and professionally with stakeholders to support alignment, transparency and timely delivery.

Requirements

Skills Required

  • Bachelor's degree or equivalent qualification in Business, Data Analytics, Information Systems, Finance, Commerce, Economics, Supply Chain, Procurement, Data Science, Law, or a related discipline
  • At least 5 years of experience in data analysis, reporting, procurement support, commercial administration, tender coordination, contract administration, procurement, or commercial analysis
  • Advanced knowledge of Power BI and dashboard development
  • Good understanding of procurement, supplier management, contract administration, and finance processes
  • Advanced Microsoft Excel skills, including pivot tables, structured tables, lookups, complex formulas, and data analysis
  • Intermediate to advanced proficiency with Microsoft Office and Microsoft 365
  • Experience with tendering activities, including RFx documentation, data collection, evaluation support, and recommendation inputs
  • Strong analytical, problem-solving, attention-to-detail, written communication, and verbal communication skills
  • Experience engaging internal stakeholders, suppliers, and service providers professionally
  • Familiarity with Power Automate and artificial intelligence tools, including automation or Copilot-style tools
  • Experience with property, real estate, facilities, or service-based organizations
