Position Summary The Preschool Administrative Support Specialist plays a key role in ensuring the smooth and welcoming operation of the preschool office. This position provides administrative, organizational, and customer service support to the Director of Youth, Family, and Educational Programs, preschool staff, and families. The ideal candidate is detail-oriented, personable, and committed to creating a positive experience for children and families.
Key Responsibilities
· Serve as the first point of contact for families, visitors, and staff, providing a warm and professional welcome
· Manage incoming calls, emails, and general inquiries in a timely and courteous manner
· Assist with student enrollment, registration, and maintenance of student records
· Process payments, invoices, and basic financial tracking in coordination with leadership
· Support scheduling, calendar management, and coordination of meetings or events
· Prepare and distribute communications such as newsletters, reminders, and program updates
· Assist with licensing documentation, compliance records, and program files as needed
· Support special events, family engagement activities, and program initiatives
· Provide general administrative support to teaching staff and leadership
QualificationsQualifications
· High school diploma required
· 1–3 years of administrative or office support experience, preferably in an early childhood or education setting
· Strong organizational skills and attention to detail
· Excellent communication and interpersonal skills
· Proficiency in Microsoft Office and/or Google Workspace
· Ability to manage multiple tasks and maintain confidentiality
· Friendly, approachable demeanor with a strong customer service mindset
Preferred Qualifications
· Experience with childcare management or registration software
· Knowledge of state licensing requirements for early childhood programs
· Previous experience working in a preschool, childcare center, or nonprofit environment
Work Environment & Physical Requirements
· Primarily office-based within a preschool setting
· Occasional standing, walking, and light lifting (up to 20 lbs)
· Regular interaction with children, families, and staff
