What You’ll Do
The PMO Coordinator keeps Ascent's Program Management Office running day to day. The role triages and tracks all incoming IT work, administers the Jira and Confluence environment the delivery teams depend on, maintains PMO methodology and documentation, and assembles the reporting that IT leadership and the executive team rely on. Working under the direction of the Director, PMO, the Coordinator is often the first point of contact for anyone navigating PMO process, governance or tooling, and is expected to follow work through to closure rather than hand it on.
Work Intake and Tracking
- Triage incoming IT work requests through the intake front door, checking completeness, applying tier classification and routing each request to the correct team
- Track requests through their lifecycle, following up on aging or stalled items until they are closed or formally rejected
- Maintain intake records and the request pipeline so that downstream reporting is accurate and current
- Support scoping and prioritization sessions by preparing materials, capturing decisions and tracking resulting actions
Jira and Confluence Administration
- Administer Jira and Confluence day to day, including user access, permissions, project and board setup, issue types, fields and screens
- Configure and maintain workflows, filters, dashboards and automation rules in line with Ascent's Jira standards
- Maintain data integrity across projects through bulk updates, cleanup and enforcement of Ascent's Jira standards
- Support delivery teams with tooling questions, troubleshooting and hands-on guidance, and help run office hours and training sessions
Reporting
- Assemble the weekly executive project status report, sourcing updates from project leads, chasing missing or stale entries and preparing it for review and distribution
- Produce recurring reporting on the IT project pipeline, delivery health, intake volume and resource capacity
- Maintain PMO dashboards and reporting tools, and support the use of AI-assisted reporting and analysis
Methodology, Governance and Documentation
- Maintain PMO templates, standard operating procedures and process documentation, and keep the PMO Confluence space organized and current
- Support governance activities including risk register upkeep, change advisory board coordination and release tracking
- Apply and help enforce the delivery framework, quality gates and Agile ways of working across delivery teams
Meetings, Communication and Onboarding
- Organize, attend and document PMO and project meetings, capturing actions and following up until they close
- Maintain the PMO calendar and manage the PMO mailbox, taking the necessary response actions
- Support IT-wide communications, including the monthly newsletter, the weekly digest and the product update forum
- Coordinate onboarding and training for new project management staff, and maintain the supporting materials
- Perform other projects and PMO administrative support tasks as required
What You’ll Bring
- Three or more years of experience in project coordination, PMO operations or delivery support
- Hands-on Jira and Confluence administration experience, including permissions, workflow configuration, automation and reporting
- Working knowledge of Agile delivery practices and the software development lifecycle
- Comfortable using AI tools for reporting, analysis and documentation, with the judgment to review output before it is used
- Proficient in Microsoft 365, particularly Excel, PowerPoint, SharePoint and Teams
- Well versed in project management processes, governance and reporting
- Skilled at encouraging compliance with policy and procedure
