Position Overview: We are seeking a highly organized, proactive, and detail-oriented Virtual Executive Assistant to provide comprehensive administrative, operational, and personal support to a busy, high-energy executive. This role is critical in ensuring the executive’s goals and priorities are achieved efficiently in both personal and professional capacities.

The ideal candidate is an experienced administrative professional with exceptional communication and organizational skills, a proven track record of acting as a trusted strategic partner, and the ability to anticipate needs and handle complex responsibilities with autonomy in a virtual environment.

Key Responsibilities:

Calendar and Schedule Management:

  • Organize and manage the executive’s daily calendar, appointments, and meeting schedules.

  • Ensure seamless coordination of personal and professional activities.

Administrative Support:

  • Handle professional correspondence, draft communications, and prepare documents, presentations, and reports.

  • Maintain and organize electronic files and records.

Travel and Event Coordination:

  • Plan and arrange travel, including flights, accommodations, and itineraries.

  • Coordinate logistics for events, meetings, and other engagements.

Personal Support:

  • Manage bill payments, subscriptions, and other household or personal administrative tasks.

  • Provide reminders and assistance with personal commitments as needed.

Virtual Assistance:

  • Work effectively in a remote environment while managing competing priorities.

  • Use technology to streamline processes and maintain clear communication.

Project Management Support:

  • Track and monitor project timelines and deliverables to ensure deadlines are met.

  • Coordinate with team members and stakeholders on project updates and priorities.

Data and Research Support:

  • Conduct research and compile data for decision-making or presentations.

  • Stay updated on industry trends and provide regular briefings.

Expense Management and Budgeting:

  • Monitor and reconcile personal and business expenses.

  • Prepare monthly expense reports and assist with budget planning.

Vendor and Service Management:

  • Liaise with vendors, service providers, and contractors for personal and professional needs.

  • Negotiate contracts and handle follow-ups on outstanding issues.

Crisis and Contingency Management:

  • Provide rapid assistance in handling emergencies, such as last-minute travel changes or unexpected cancellations

  • Maintain alternative plans for critical activities or appointments.

Wellness and Work-Life Balance Support:

  • Assist in scheduling wellness activities, including exercise sessions, personal time, and downtime.

  • Send reminders for breaks, meals, or self-care activities during busy workdays.

Relationship and Communication Management:

  • Act as a liaison between the executive and clients, employees, or stakeholders.

  • Maintain and update contact lists, ensuring strong professional and personal networks.

• Must have at least two to three years’ experience as an administrative assistant.

• Experience supporting executives in a virtual capacity.

• Familiarity with task management tools and apps for remote collaboration.

• Proven ability to handle sensitive information with the utmost confidentiality.

• Strong knowledge of productivity tools (e.g., Microsoft 365, Google Workspace, Asana, Slack, Zoom).

• Ability to troubleshoot minor technical issues.

• Anticipate needs and provide solutions before issues arise.

• Willingness to adjust working hours to accommodate urgent tasks or travel across time zones.

• Proven ability to manage competing priorities in a fast-paced environment without compromising quality.

• Ability to work effectively with international clients and teams, respecting cultural differences and practices.

Skills Required
