We are currently looking for a Personal Assistant, reporting directly to VP Commercial Area East.

You will be based in Zagreb, Croatia.

Objective:

In this role, your main goal will be to provide high-level administrative support to the VP Commercial Area East. This role requires confidentiality and knowledge of the organization's procedures and people.

In detail you will:

  • Handle the managers’ calendar by organizing appointments, bookings, in coordination with other VP personal assistants
  • Prepare and administer meetings, video conferences, gathering, events etc.
  • Identify the need for and assist in the preparation of agenda materials for meetings which the VP attends
  • Assist the Management Team in activities such as meeting scheduling, practical workplace assistance, etc.
  • Responsibility for all travel bookings and arrangements, including visa
  • Handle VP’s expense reports
  • Create and maintain files and records for historical and informational reference, while keeping high level of confidentiality
  • Collaborate, plan and participate in events at the office
     

Requirements:

  • Previous experience in a similar role
  • Previous experience in supporting senior level managers will be an advantage
  • Discretion and the ability to maintain confidential information professionally
  • Exceptional organizational and time management abilities, capable of effectively prioritizing daily tasks
  • Very good communication and interpersonal skills
  • Proficiency in MS Office (Outlook, Teams, Excel)
  • Fluent in English
