We are seeking a highly professional and experienced Executive Assistant to join our team and provide high-level administrative support to our Chief Officers.
Based in Malta and reporting to HR, the Executive Assistant serves as a liaison between the board of directors and the senior management team, manages sensitive and commercial matters with confidentiality and discretion, co-ordinates a daily calendar of meetings and events, and prepares presentations, agendas, reports, and special projects.
Your responsibilities will include:
- Manage calendars by scheduling a variety of appointments, including business meetings, lunches, flights, and accommodation, for both personal and business purposes.
- Assist in preparing presentation and reports
- Manage expense reports and reimbursements
- Liaise with partners and stakeholders of behalf of direct line manager
- Be able to handle phone calls, emails and manage other communication channels
- Assist with administration work such as managing email inboxes, courier/mail services, scanning, data inputting, filing, drafting of letters and similar
- Take accurate and comprehensive notes during meetings
- Assist with management of various projects, such as company events and meetings.
- Be able to run errands mainly during office hours but also as required.
- Be readily available for communication outside of office hours using the company phone as required
- Any other ad-hoc duties that may be required from time to time to fulfil the business needs
Applicants should have Russian fluency, three years’ experience in a similar role, proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Slack, and project management software, the ability to work flexible hours as required, and a dedication to exceeding expectations by maintaining effective relationships with the executive management team
