Job Summary:

The People Operations Generalist supports the day-to-day administration of the employee lifecycle and serves as a key operational resource within the Human Resources team. This position is responsible for coordinating employee onboarding and offboarding, maintaining employee records and HR systems, tracking professional licenses and compliance requirements, assisting HR Management with performance management, coordinating employee recognition programs, and providing backup administrative support for employee benefits and leaves of absence.

The ideal candidate is highly organized, detail-oriented, service-minded, and comfortable independently managing multiple processes, systems, and deadlines. This position requires sound judgment, discretion with confidential information, and the ability to coordinate effectively across Human Resources, IT, Office Services, employees, and firm leadership.

Key Responsibilities

    Onboarding & Offboarding:

  • Own and coordinate the administrative onboarding process from accepted offer through the employee's first day and initial onboarding period.
  • Coordinate with IT, Office Services, hiring managers, and other departments to ensure equipment, system access, workspace, building access, and other resources are ready for new employees.
  • Prepare and send new-hire communications, onboarding schedules, welcome information, and required documentation.
  • Conduct the HR portion of new-hire orientation and serve as a primary HR point of contact for new employees.
  • Coordinate background checks, I-9/E-Verify requirements, new-hire paperwork, and related compliance documentation.
  • Coordinate employee separations and offboarding, including communication with IT, Office Services, payroll, and other appropriate departments.
  • Coordinate the return or retrieval of laptops, equipment, keys, badges, and other firm property.
  • Prepare and maintain termination and employee-change documentation and ensure HR systems and records are updated appropriately.
  • Benefits & Leaves:

  • Provide administrative support to the HR Management with employee benefits and leaves of absence.
  • Assist with routine benefits-related tasks, employee communications, documentation, and follow-up as needed.
  • Provide backup support during benefit enrollment periods and assist with maintaining accurate benefit records.
  • Assist with leave tracking, documentation, and employee communications as directed by the HR Management.
  • Develop a general working knowledge of the firm's benefits and leave processes to provide effective backup coverage and support.
  • Professional Licensing & Compliance:

  • Maintain and monitor CPA and other professional license information for applicable employees.
  • Track license expiration and renewal dates and communicate renewal requirements to employees.
  • Assist partners and other professionals with license renewal and reporting processes as needed.
  • Maintain accurate professional license and continuing education information in LC Vista.
  • Follow up on outstanding licensing and compliance requirements and maintain appropriate supporting documentation.
  • Assist with recurring HR compliance and required training tracking.
  • Performance Management Support & Employee Programs:

  • Assist the HR Management with the administration of the firm's performance management and employee review processes.
  • Assist with setting up and launching performance review cycles, surveys, and related workflows within the performance management system as directed by HR Management.
  • Help monitor completion of reviews and surveys, send reminders and follow up on outstanding items, and provide administrative support for routine reporting and system maintenance.
  • Coordinate the administration of the firm's employee recognition and rewards platform, including monitoring inventory and reordering reward items as needed.
  • Respond to routine system notifications and assist employees with basic questions related to the rewards program.
  • HR Operations:

  • Maintain accurate employee information and documentation within HR systems and personnel files.
  • Assist with periodic audits of HR records and systems to ensure information is accurate and up to date.
  • Respond to routine employee questions regarding HR processes, benefits, policies, and procedures, escalating more complex matters as appropriate.
  • Provide backup support for other members of the HR team.
  • Identify opportunities to improve and streamline HR processes, checklists, documentation, and employee communications.
  • Assist with special HR projects and other duties as assigned.

Required Qualifications & Skills / Abilities:

  • Three or more years of progressive Human Resources, People Operations, HR Generalist, or similar experience; professional services experience preferred.
  • Hands-on experience with employee onboarding and offboarding required; exposure to benefits administration and/or leaves of absence is a plus.
  • Bachelor's degree preferred; equivalent relevant experience will be considered.
  • Experience with HRIS systems; ADP experience preferred. Experience with LC Vista or professional license/CPE tracking is a plus.
  • Working knowledge of California employment practices and leave requirements preferred.
  • SHRM-CP, PHR, or similar HR certification is a plus.
  • Strong Microsoft Office skills, particularly Outlook, Word, and Excel.
  • Excellent organizational skills, attention to detail, and ability to manage multiple deadlines and recurring responsibilities.
  • Strong written and verbal communication skills, sound judgment, and ability to exercise discretion and maintain confidentiality.
  • Strong customer-service orientation and ability to work effectively with employees at all levels, including partners and senior leadership.

Skills Required
