The People Operations Associate will play a crucial role in helping to scale and mature the People Operations function by coordinating candidate logistics, ensuring a top-notch candidate experience, and overseeing our Soho Office. You will collaborate closely with recruiters, hiring managers, and candidates to deliver an outstanding candidate experience while keeping the recruitment process running efficiently. You will also be responsible for overseeing the daily operations of the office, ensuring a smooth and efficient workplace environment.
What You’ll Do:
- Interview Scheduling:
- Coordinate and schedule interviews between candidates and hiring teams, ensuring availability and alignment across time zones.
- Manage and track interview schedules, follow-ups, and feedback in Greenhouse.
- Candidate Communication:
- Serve as the primary point of contact for candidates, providing timely updates and ensuring a seamless experience throughout the interview process.
- Send invitations, confirm interview details, and respond to candidate inquiries.
- Recruitment Logistics:
- Assist with preparing interview materials and setting up interviews.
- Coordinate virtual interview logistics, including video conferencing setup and troubleshooting.
- Process Management:
- Maintain accurate candidate records and track stages of the interview process in Greenhouse.
- Ensure timely collection and documentation of interview feedback from hiring teams.
- Project Support:
- Provide administrative support for various recruiting projects, such as process improvements, data & metric tracking, and interview training.
- New Hire Onboarding
- Assist with onboarding new employees, including preparing workspace and completing necessary documentation.
- Office Management
- Manage the day-to-day office operations and maintain an organized, efficient office environment.
- Maintain office supplies inventory and place orders as needed to ensure availability.
- Oversee the maintenance of office equipment, ensuring repairs and replacements are handled promptly.
- Manage office space, including coordinating seating arrangements, space planning, and upkeep.
- Greet and assist visitors, customers, and vendors in a professional and friendly manner.
- Coordinate employee events, celebrations, and team-building activities.
- Serve as a liaison between employees and HR for general office-related inquiries.
What You Bring:
- Strong organizational and multitasking skills, with the ability to manage multiple priorities and deadlines.
- Excellent communication skills, both written and verbal, with a focus on providing exceptional candidate experiences.
- Proficiency in G Suite (Gmail, Docs, Sheets.)
- Experience utilizing Applicant Tracking Systems is a plus, experience with Greenhouse ATS is preferred.
- Ability to work in a fast-paced, dynamic environment and adapt to changing priorities.
- High level of discretion and professionalism, particularly when handling sensitive candidate information.
- A proactive, detail-oriented, and resourceful attitude.
- Demonstrated customer service experience is preferred.
- Previous experience in recruiting coordination, HR, or administrative roles is a plus.
- Familiarity with recruiting practices and processes is a plus.
Base Salary: $69,000 - $85,000 + equity
