About the Role 

We’re looking for a People Operations Coordinator that will support talent attraction, recruiting operations, onboarding coordination, employee experience initiatives, and People Team programs across the organization. This role serves as a key connector between candidates, employees, hiring managers, and People Team stakeholders by helping create organized, positive, and engaging experiences throughout the employee lifecycle.

The People Operations Coordinator will support recruiting logistics, orientation coordination, employee engagement initiatives, internship programming, community outreach activities, and onboarding processes while helping maintain a high level of responsiveness, organization, and professionalism. This role requires someone who is relationship-oriented, highly organized, proactive, and passionate about creating positive experiences for both candidates and employees.

Core Responsibilities

  • Talent Attraction and Recruiting Coordination
    • Coordinate interview scheduling, candidate communications, calendar updates, and follow-up activities to support an organized and timely hiring process.
    • Maintain accurate candidate, requisition, interview, and hiring records within BambooHR and other applicable systems.
    • Assist with approved job postings, recruiting materials, and candidate communication templates to support a consistent and professional candidate experience.
    • Escalate scheduling conflicts, delayed feedback, or process bottlenecks.
    • Track recruiting coordination tasks, pending feedback, open action items, and hiring process deadlines.
    • Prepare, organize, and maintain recruiting documentation, interview materials, candidate communications, and process resources.
    • Support hiring teams by ensuring recruiting activities remain organized, accurate, and responsive.
  • Early Talent and Engagement Support
    • Coordinate logistics for career fairs, campus visits, university recruiting events, internship activities, apprenticeship initiatives, and community outreach efforts.
    • Support event preparation including materials, registration details, schedules, attendee information, communication tracking, and follow-up activities.
    • Assist with NextGen Intern Program planning, onboarding, engagement activities, and program coordination.
    • Maintain contact lists, communication records, and event details for schools, trade programs, universities, and community partners.
  • New Hire Experience and Onboarding Support
    • Coordinate new hire welcome activities, onboarding logistics, swag preparation, desk setup, and first-day readiness.
    • Greet new employees on their first day and help guide them through onboarding sessions, introductions, and scheduled activities.
    • Support onboarding communication and coordination with hiring managers and internal stakeholders.
    • Assist orientation teams with scheduling, preparation, updates, and day-of execution.
    • Help ensure a positive and organized onboarding experience for all new employees.
    • Support orientation scheduling, coordination, presentation preparation, and communication with orientation contributors.
    • Maintain onboarding guides, orientation materials, and employee resources to ensure information remains current and accurate.
  • Employee Experience Support
    • Serve as a People Team resource by helping employees find information, answers, and appropriate support resources.
    • Support employee experience initiatives, recognition efforts, engagement activities, and team member communications.
    • Assist with the Peer Shadowing Program through scheduling, participant communication, tracking, reporting, and program support.
    • Support employee touchpoints and People Team initiatives that strengthen engagement and connection across the organization.
    • Jump in to support Employee Experience and Talent Attraction priorities as needed, demonstrating flexibility, initiative, and follow-through.

Preferred Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Communications, Marketing, Psychology, or a related field preferred.
  • One to three years of experience in recruiting coordination, talent attraction, employee experience, human resources, or related support functions preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and a genuine passion for helping people.
  • Experience working with HRIS, applicant tracking systems, Microsoft Office Suite, and collaboration tools.
  • Ability to work effectively in a fast-paced, high-growth environment.
  • Demonstrated ability to maintain professionalism, confidentiality, and sound judgment.
