The Payroll Tax Specialist is responsible for ensuring accurate and timely payroll tax processing, reporting, reconciliation, and compliance with federal, state, and local tax regulations. This position works closely with payroll, accounting, talent and tax agencies to resolve tax issues and maintain compliance.
The ideal candidate will have strong knowledge of federal, state, and local payroll tax requirements, along with advanced Excel skills and experience with reconciliations and data analysis. Strong attention to detail, organization, and the ability to research tax regulations and resolve complex discrepancies are essential. The candidate should also have excellent written and verbal communication skills and the ability to handle confidential information with discretion. Knowledge of payroll accounting and general ledger reconciliation is preferred.
MINIMUM REQUIREMENTS
Education: Associate’s degree in accounting required
Experience: 2–5 years of experience in payroll tax, payroll processing, accounting, or a related function. Experience with payroll systems, tax filing platforms, multi-state payroll taxation and responding to payroll tax notices and supporting tax audits.

Work Schedule: This position works between the hours of 7 AM and 5 PM, Monday- Friday. Overtime may be required.
KEY RESPONSIBILITIES
- Processes and reviews federal, state, and local payroll tax filings and payments.
- Ensures payroll tax deposits and filings are completed accurately and on time.
- Reconciles payroll tax liabilities, payments, and general ledger accounts.
- Researches and resolves payroll tax discrepancies, notices, and agency inquiries.
- Maintains accurate employee and employer tax records, including tax jurisdictions and withholding requirements.
- Monitors changes in federal, state, and local payroll tax laws and assess their impact on payroll operations.
- Prepares and submits quarterly and annual payroll tax returns and related reporting.
- Assists with year-end payroll activities, including W-2 and other wage/tax reporting.
- Coordinates with payroll providers and tax agencies to resolve filing, payment, and registration issues.
- Supports payroll tax audits and provide requested documentation and reports.
- Reviews payroll calculations and tax withholding for accuracy.
- Maintains documentation of tax processes, controls, reconciliations, and compliance activities.
- Identifies opportunities to improve payroll tax processes, controls, and automation.
- Protects confidential employee, payroll, and tax information.
- Performs other related duties as required and assigned.
