POSITION SUMMARY: 
Under the direction of the Director, Payroll, our Payroll Analyst will manage the overall payroll taxation and registrations for several entities. coordinate and participate in technical payroll accounting activities; participate in the preparation, maintenance, processing, analysis and auditing of manual and automated payroll data, information, records, and reports; and ensure accuracy and completeness of payroll transactions. This is a Full-Time remote role. 

 

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Act as liaison between company and payroll vendor tax services to ensure that tax payments are made timely; Liaison with Federal, State, and local agencies for audits and inquiries. 

  • Responsible for the analysis of data to identify and resolve discrepancies before, during, and after the processing of payroll; Run post Payroll reposts and review including research tax related issues. 

  • Reconcile payroll registers against original source data verifying all paychecks are processed accurately; Verify data exported from the payroll system to ensure in-house database reports have captured complete and accurate data. 

  • Responsible for auditing and maintaining all company tax registrations for operating States, localities, and municipalities and assists with Year-End processing and audits. 

  • Regularly audits and ensures quarterly tax filings are accurate and reconciled to payroll reports for all entities (including reconciliation of 941’s, W-2's/W-3’s. 

  • Assist with any payroll-related matters including assistance with each pay cycle’s check tracking, pay discrepancies, garnishments, benefits, and onboarding issues within the payroll department; Assist and coordinate with the payroll team to assure accurate processing of taxes and employee paychecks. 

  • Assist in overseeing of tickets received in the Payroll Freshdesk inbox and coordinate accordingly to provide administrative support; Respond to payroll tax related questions and resolve payroll tax issues Company wide. 

  • Maintain knowledge of compliance requirements and applies to the business environment, making recommendations when deficiencies are identified. 

  • Responsible for timely and accurate reconciling, balancing, auditing, and completion for all assigned payroll records and general ledger discrepancies. 

  • Responsible for following defined procedures while continuously analyzing and recommending changes to enhance the identified processes' accuracy and/or efficiency. 

  • Responsible for working with technical resources to update and maintain payroll to general ledger mapping and facilitates/troubleshoots issues with account balances as required. 

  • Responsible for working with system technical resources to support time and payroll calculations for changing business and/or regulatory compliance. 

  • Work collaboratively with internal and external stakeholders in Payroll, Finance, Talent Acquisition, Operations, and Human Resources to resolve issues. 

  • Works collaboratively with management and team members to document payroll team processes and is responsible for maintaining documentation on an on-going basis. 

  • Exhibits an elevated level of integrity by keeping payroll and financial information strictly confidential. 

  • Other duties as assigned. 

 

QUALIFICATIONS – EDUCATION, WORK EXPERIENCE, CERTIFICATIONS

  • High School Diploma or GED required, Bachelor’s degree preferred. 

  • Certified Payroll Professional (CPP) designation, or Fundamental Payroll Certification (FCP) a plus 

  • 3+ years of in-house or outsourced payroll experience 

  • 2+ years of experience in data analysis, including mining, evaluation, and visualization 

  • Advanced SQL or Advanced Microsoft Excel functions (VLOOKUPS. Pivot Tables and other formulas) with aptitude for learning other analytics tools 

  • Knowledge of federal, state, and local payroll tax regulations and registration requirements necessary 

  • Workday Payroll Processing experience or Workday Tax system experience – strongly desired. 

  • Experience with OSV (One Source Virtual), ADP SmartCompliance, or other payroll taxation system preferred. 

  • Strong systems/process experience with demonstrated analytical thinking, attention to detail, organization, and problem solving 

  • Multi company/entity environment experience preferred 

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of payroll principles, multi-state tax laws, employee garnishments, regulations, reporting, and procedures. 

  • Exhibits working knowledge of calculation of all components of payroll gross to net. 

  • Knowledge of payroll concepts including pre- and post- tax benefits, deductions, and reporting. 

  • Knowledge of federal and multi-state payroll laws, and general legal requirements for tax registration, reporting, and special pay requirements 

  • Experience with payroll full process input-to-regulatory reporting reconciliations. 

  • Experience with third-party payroll processing systems such as Workday 

  • Understands banking concepts in the completion of payroll processing. 

  • Strong knowledge of multi-state payroll taxes. 

  • Strong attention to detail and excellent written and verbal communication skills. 

  • Dependable, reliable, honest, and respectful of others 

  • Maintains the highest levels of confidentiality. 

  • Ability to use Microsoft Office products (w/ above average proficiency in Microsoft Excel). 

  • Strong technology skills and ability to work in a primarily digital environment. 

  • Adept at embracing technological changes in the workspace. 

  • Capable of handling multiple tasks with varying priorities, processing high-volume transactional changes, staying focused, and working effectively.
